About the Job The Executive Administrative Assistant will provide general administrative support to three corporate executives. This position works closely with business leaders to ensure smooth travel planning, calendar coordination, complex meeting planning and other administrative business processes. What You’ll Do | Key Accountabilities Provide direct support and anticipate needs proactively identifying opportunities to streamline processes and enhance efficiency within day-to-day business activities. Utilize a strategic approach in coordinating and scheduling meetings, including preparing agendas for various departmental meetings; prepare and distribute minutes to appropriate personnel, on an as needed basis. Deliver exceptional calendar management to manage complex schedules, as well as an exceptional ability to prioritize inquires and requests while ensuring requests have a clearly defined purpose and time zone sensitivities considered. Coordinate travel arrangements; create travel trip itineraries; arrange for transportation, lodging, and other needs while traveling. Schedule, plan and organize all logistical details for office and off-site meetings, training, and events. Develop PowerPoint presentations and other graphic presentations; type correspondences in manager’s signature while exercising discretion and independent judgment to ensure a professional and effective responses. Assist in execution of projects through tasks such as: creating dynamic PowerPoint presentations, managing team meeting schedules, and sourcing information from various business partners. Act as a gatekeeper, screening and prioritizing incoming communications & meetings. Maintain distribution lists, organization charts, phone lists, and birthday lists ensuring all are up to date. React with appropriate urgency to requests/situations that require a quick turnaround and take effective action without having to know the whole picture.? What You’ll Bring | Skills & Experience Bachelor's degree or equivalent combination of education and experience, 5+ years of previous experience as an Executive Assistant supporting C-level executives or senior management. Ability to independently interpret data and information to produce professional Word documents, Excel spreadsheets, and PowerPoint presentations. Excellent organizational skills with the ability to handle multiple tasks with a sense of urgency, confidentiality, and discretion in dealing with sensitive and confidential information. This salary range is specific to New York, California, and Washington, and may differ in other locations. Base pay information is based on market location and may be subject to prevailing wage laws, if applicable.
