We are actively seeking a Facilities Coordinator for our Pleasanton, California office.
Position Summary
We are looking for an awesome entry level Facilities Coordinator who is flexible, reliable, outgoing, professional, and has a positive work attitude. It is important that everyone encounters friendly and professional service and that our offices run efficiently. Our objective is to keep the Rimini Street offices fully operational and running smoothly while providing employees with the resources needed to excel at their jobs. The Facilities Coordinator will report to the Facilities Manager. Duties include stocking multiple kitchens, maintaining multiple conference rooms, meeting setups and daily walk through of the building. In addition, you will also assist employees with special requests and act as an employee relations liaison to provide helpful and accurate information to employees and visitors.
Essential Duties & Responsibilities
Inventory Control-Refreshments and Office Supplies:
- Order, Stock and maintain food/beverage/office supplies
- This role will be responsible for maintaining the common areas as well as ordering and stock maintenance for all kitchen and copy room supplies
Meeting Coordination:
- You will be required to ensure the offices are well maintained and presentable at all times; maintaining cleanliness of all offices, workstations and conference rooms throughout the business day
Administrative:
- Input and keep policies and procedure manuals up to date in Microsoft software programs
- Ability to learn internal software
Deliveries:
- Handling of all incoming packages and deliveries. Requires sorting and delivering to employees or forwarding as appropriate
Vendor relations:
- Vendor relation knowledge will be necessary to oversee typical vendors including coffee/snacks, office supplies, confidential shredding, and plant maintenance
Workplace Operations:
- Related requirements will include handling internal tickets for maintenance and other general requests for office repairs. This may involve overseeing moving of furniture, installation of keyboard trays, whiteboards, hanging pictures, etc.
Security Desk:
- Staff the security desk, which includes providing access to employees, monitoring visitors and vendors. Accepting and routing mail.
IT knowledge:
- Liaison to IT to ensure office support needs are being met. Assistance may be required to perform on site IT tasks. Basic understanding of computer set-ups, hardware terminology, and simple network diagnosis will be necessary
Additional Duties & Responsibilities
- Other job duties may be required from time to time
- Flexibility to adapt and assist all departments when needed
Education
Experience
- 2 years working in retail or customer service position
Skills
- Competent in MS Office
- Outlook, MS Word, MS Excel
- Attention to detail and accuracy
- Ability to manage time, work independently and see projects through completion
- Ability to take on new tasks and technology quickly
- Good communication skills and professional presence
- Willingness and ability to adapt to the rapid business and organisational changes that accompany a high-growth environment
- Ability to work independently
Physical Requirement
- Ability to stock and lift up to 25 lbs of product
- Must be able to push loaded cart between 3 floors
Desired Qualifications
- Willingness to learn and succeed in a corporate environment
