Overview
This position will coordinate and administer all school financial and budget issues in compliance with University policies and procedures.
Responsibilities
• Monitors and tracks expenditures and incoming funds of academic units and programs • Investigates and reduces major expenses. • Approves all credit card, payment request, and requisition purchases for academic units and programs. • Works with the Dean of the Benjamin T. Rome School of Music, Drama, and Art and the Academic Budget Office to create budgets for each fiscal year. • Assists Dean with all budgeting issues and projections for long-term budget planning. • Supervises Box Office Manager and oversees all ticketing financials and database. • Allocates funding for the production budget and manages production spending in conjunction with Production manager. • Meets quarterly with academic units to plan, coordinate, and develop yearly budgets. • Participates in yearly capital project planning with the Dean and University Facilities personnel. • Pays invoices for external non-production Benjamin T. Rome School of Music, Drama, and Art level expenses. • Oversees all marketing for school productions and events by developing and implementing marketing and advertising campaigns inclusive of yearly season brochure, social media advertising, email, and print advertising. • Manages internal and external e-newsletters. • Implements marketing and advertising campaigns by preparing marketing and advertising strategies, plans, and objectives. Works closely with faculty to coordinate the marketing of faculty and student events. • Supervises Benjamin T. Rome School of Music, Drama, and Art Marketing and Outreach workers. • Prepare, review and present financial reports for external purposes including Benjamin T. Rome School of Music, Drama, and Art Board of Visitors, National Associations of Schools of Music, and other external consultants as necessary. • Coordinates with Advancement Officers on alumni, donor, and patron outreach and assists with budget-related grant writing. • Keeps Advancement Officer appraised of Benjamin T. Rome School of Music, Drama, and Art related budget information.
Qualifications
• Masters Degree or specialized training in management for nonprofit arts organizations. • At least five (5) years’ of office management experience in financial and/or marketing oversight for a professional or university theatre. • Must have at least one (1) year of management experience. • Must be service oriented with excellent communication skills, both written and oral. • Must work well with the public. • Must be familiar with modern office equipment. • Ability to prioritize diverse responsibilities.
