Job Description | Under the direction of the Assistant Vice President for Alumni and Donor Engagement, the Donor Engagement Officer will be responsible for executing and overseeing a comprehensive donor acknowledgement, reporting and recognition program. The Officer will ensure that the University recognizes, expresses appreciation, informs and engages current and prospective donors and volunteers in the life of the University.
Among the key responsibilities will be preparing donor acknowledgements, including those on behalf of the President and other members of leadership, working in concert with Financial Aid to coordinate the tracking, distribution and stewardship of all donor-named scholarships and awards, creating and executing donor recognition events and opportunities, managing gift societies inclusive of presidential communications and creating and executing pledge reminders.
The Officer will also be responsible for aiding the Vice President for Advancement and External Affairs with the University’s Board of Regents, supporting their effectiveness as well as coordinating meetings, resolutions and ensuring adherence to by-laws . Excellent interpersonal, verbal and presentation skills are essential. In addition, the employee must be able to write compelling letters and reports as well as generate creative solutions for stewarding gifts in order to advance the University’s efforts to maintain and strengthen high-quality individual relationships with donors. This requires an ability to think strategically about donor engagement.
Salary Range: $48,000 – $52,000 |
Duties & Responsibilities | Essential Functions and Requirements: - In conjunction with Advancement Operations, Finance and Financial Aid, manages all donor scholarships, including but not limited to: efficient and timely tracking of all funds and awards made; ensuring regular donor communication and reporting; liaising with Finance and Financial Aid to ensure proper stewardship and execution of all donor scholarships; planning intimate stewardship events; collaborating with Leadership Gift Officers on scholarship agreements; and interacting with scholarship recipients for thank you letters and event participation. Collaborates with other University departments to ensure proper disbursement and recognition of Michaelmas and Commencement awards.
- Develops systems to customize relationship management techniques for leadership-level donors. Works with Leadership Gift Officers to ensure these donors receive appropriate levels of stewardship reporting, recognition and guidance with respect to their interactions with the University. This includes but is not limited to stewardship reports, correspondence from University leadership, gifts, birthday/holiday cards and personal remembrances.
- Strengthens giving societies program, particularly the President’s Council, by managing a comprehensive and personalized stewardship strategy for the President’s Council donors ($1,000 and up) in concert with the Leadership Giving and Annual Giving teams. Manages development of thank-you letter content and implements quality controls to ensure letters are processed with no errors and any necessary tailoring or personalization occurs.
- Prepares strategic congratulatory letters to prospects for special achievements known as “luster letters”; work with Leadership Gifts team to ensure cultivation potential is maximized.
- Prepares various communications on behalf of the University President and other leadership to facilitate donor stewardship.
- Assists in creating special donor recognition events such as groundbreakings, dedications, etc.
- Oversees the process of writing and preparing gift correspondence such as campaign pledge reminder letters and gift acknowledgement letters/receipts in collaboration with the Advancement Operations team.
- Works in concert with the Vice President for Advancement and External Affairs to engage and cultivate the Board of Regents including preparing materials for Regent meetings, tracking membership, arranging for meeting logistics and capturing meeting details.
- Performs other duties as assigned by the Assistant Vice President for Alumni and Donor Engagement and/or Vice President for Advancement and External Affairs including but not limited to event staffing, writing duties or volunteer management.

Qualification Standards | Minimum Qualifications: - Bachelor’s degree or equivalent experience
- A minimum of one (1) to three (3) years of professional work experience in customer service, fundraising, data management or a directly related field to demonstrate sufficient knowledge, skill and ability to perform the essential functions of the position.
- Ability to learn basic fundraising principles and strategy including the moves management system.
- Superior digital literacy to use University systems and platforms, which include MS Office Suite, Google Suite (Mail, Docs, Sheets, Slides), Zoom, and other systems and digital tools.
Additional Desirable Qualities: - Knowledge of Raiser’s Edge NXT database and web view.
- Demonstrated skills and expertise in planning and decision making, communication, human relations, salesmanship, persistence and patience.
- A high degree of initiative is expected along with strong organizational skills, attention to detail and the ability to identify and construct solutions.
