Are you an energetic, organized, and outgoing administrative professional? The Fairfax County Department of Transportation (FCDOT) Administrative Services team is seeking a detail-oriented customer-focused Administrative Assistant IV responsible for procurement, accounts payable, accounts receivable, and customer support, primarily for Fairfax County’s human services transportation program. In addition, this position oversees customer service at the FCDOT Main Reception Desk and collaborates with other administrative staff to improve business support services and provide exceptional customer service.
Specific duties include:
Processing requests for purchase orders, primarily for contracted transportation services and other related program needs.
Processing invoices for payment, ensuring invoices are accurate, properly approved, and processed timely.
Creating and maintaining detailed records related to transit service utilization, tracking hours and miles invoiced, and monitoring expenditures to ensure programs remain within appropriations.
Generating bills for services, including the Critical Medical Care Partnership program and bus charters.
Depositing revenues received and processing cash receipts.
Managing the FCDOT Main Reception Desk, including supervising two FCDOT team members, ensuring adequate coverage for telephone and walk-in customers, and prompt response to requests for information.
Collaborating with other FCDOT administrative staff to improve business support services.
Providing related customer support.
The position is expected to successfully resolve problems in a team-based environment, balance multiple priorities and tasks to meet established deadlines, and perform duties under limited supervision.
Note: The assigned functional areas for this position include general administrative assistance, finance, and/or procurement.
Employment Standards

Any combination of education, experience and training equivalent to high school graduation and three years of experience providing administrative support in the assigned functional area(s).
CERTIFICATES AND LICENSES REQUIRED: Valid driver's license
NECESSARY SPECIAL REQUIREMENTS: The appointee to this position will be required to complete a criminal background check, credit check, and driving record check to the satisfaction of the employer.
PREFERRED QUALIFICATIONS:
At least two years of experience in public procurement, accounts payable, and/or accounts receivable.
At least two years of experience billing clients for services.
At least two years of experience working for local, state, or federal government.
At least two years of front-line customer service experience with excellent customer support skills.
At least two years of experience as a supervisor, including coaching and training staff.
Strong analytical, organizational, and communication skills.
Proficiency using Microsoft Office Suite computer software, particularly Excel and Word.
Experience using Enterprise Resource Planning (ERP) systems such as Fairfax County Unified System (FOCUS) or similar ERP systems.
Strong interpersonal skills and demonstrated ability to establish and maintain positive working relationships.
PHYSICAL REQUIREMENTS: Ability to walk, bend, reach, and lift up to 10 pounds is required. Ability to work at a computer and operate keyboard driven equipment for extended periods is required. Job is generally sedentary in nature. Visual acuity to read data on a computer monitor and detailed reports is required. All duties performed with or without reasonable accommodations.
