Job Summary | The Departments of Theater and Dance at Oberlin College invite applications for the position of Departmental Technician II/Box Office Coordinator. This is a full-time, 10-month, continuing, Administrative Assistant position, reporting to the Managing Director of Theater and Dance and works closely, and in direct partnership with, constituents in the Conservatory, Student Life, and various other departments and entities on campus. |
Responsibilities | The incumbent will be responsible for the sales and accounting for all tickets and subscriptions and the House Management and FOH staffing for performances produced or co-produced by the Theater Department, Dance Department, the Conservatory of Music, and other campus organizations and departments. |
Essential Job Functions | - Patron and Audience Services: Provide daily operation of the ticket service in a courteous and efficient manner.
- Process telephone sales, credit card charges, ticket exchanges, special reservations, group sales, complimentary tickets, and more.
- Respond to inquiries about Oberlin College and Conservatory and the various performing arts events, including descriptions of concerts and productions and specific directions and parking for each venue on campus.
- Assist in implementing ticketing and front-of-house operational procedures and service standards.
- Understand and comply with the necessary ADA policies and services.
- Streamline and maintain effective communication and information dissemination between Oberlin College and northeast Ohio organizations.
- Ticketing: Manage the Central Ticket Service’s office operations and services. Sell individual tickets, fixed seat subscriptions, partial subscription packages, flexible passes, and memberships.
- To maximize ticket office efficiency, utilize and maintain all ticket office technology, including sales software, validation scanners, credit card machines, and printers.
- Build ticketed events and packages in the various ticketing systems and oversee the continued development of online ticket services.
- Prepare customized reports and spreadsheets for departmental use.
- Recruit, train, and supervise several part-time student staff members. Train them in contemporary and professional ticketing and front-of-house industry standards.
- Attend and work shows on behalf of the Central Ticket Service.
- Analysis and Marketing: Analyze and forecast operating and sales budgets in conjunction with the Managing Director, Office of Communications and Conservatory constituencies.
- Analyze and assist in developing pricing structures for the various events on campus.
- Assist in strategizing and implementing effective incentive programs for upselling, add-ons, and donations.
- Assist with general engagement and publicity practices; proofread arts brochures and flyers, assist with patron mailing lists, etc.
- Financial Management: In a timely manner, manage all accounting and financial operations of the ticket office including; deposits, record keeping, invoicing, and reporting functions.
- Perform other event-related administrative duties and tasks as assigned.

Required Qualifications | - College degree or equivalent combination of education and experience.
- keyboarding speed of 50 wpm with emphasis on accuracy;
- strong emphasis on customer service and effective communication skills, with a diverse clientele;
- ability to work in a multi-tasking and public environment with frequent interruptions;
- strong verbal and written communications skills, including but not limited to, the ability to comprehend, transmit, edit and create well-written instructions and business correspondence; thorough knowledge of proper grammar, spelling, punctuation, as well as office methods and procedures;
- demonstrated accuracy and attention to detail; proficiency in word processing, databases, and spreadsheets;
- ability to be tactful under stress, uses good judgment, and the ability to work in teams;
- ability to work extended days, evenings, and weekends as necessary;
- experience preparing budgets, accounting methods and financial forecasting;
- proficiency with Microsoft Office applications; familiarity with, or a willingness to learn CMS systems to manage website.

Desired Qualifications | - Experience with ticketing technologies, Spetrix preferred, and systems.
- 3-5 years of experience in a performing arts ticketing office;
- experience in evaluating and recommending resources required to meet sales and service goals;
- ability to strategize and conceptualize new ideas and translate these ideas into specific action.
- basic musical and theatrical knowledge including the ability to describe concert programs or theatrical productions to patrons; and favorable references.

Compensation | This Pay Grade 7 Administrative Assistant position is to be filled at a hourly rate of $28.31 or at the appropriate transfer rate for internal candidates and includes an excellent benefits package. |
