Position Summary:
As a member of the Office for Undergraduate Students in the College of Liberal Arts and Sciences, the Manager, Student Academic Records leads the graduation certification process for the College of Liberal Arts and Sciences ensuring students on track to graduate meet degree requirements, coordinates with college/campus partners, and assists with the records maintenance in the office The Manager, Student Academic Records partners with the Assistant Director, Systems Management and Assistant Director of Academic Services to ensure curricular requirements are reflected in the university degree audit system. This person acts as primary contact for questions from over 40+ department chairs, program directors, advisors, and administrative assistants on graduation certification process, and producing documentation that degree requirements are met.

Duties and Responsibilities:
GRADUATIONCERTIFICATION
Manage Graduation Certification Process three times per year for all undergraduate students in CLAS and students in the SCI Phoenix Program.
Serve as the primary person responsible for generating and maintaining the graduate list for CLAS.
Conduct analysis of student academic records for eligibility to graduate by evaluating student graduation requirements using the degree audit system.
Employs university resources and systems to create and implement streamlined ways for tracking prospective graduate’s status.
Work with department staff and advisors on course substitution requests, and assist with adjustments to the student’s degree audit, if approved.
Organize the summer review of rising junior and senior degree audits for follow up by individual departments.
COMMUNICATIONANDTRAINING
Develop and implement communication plans for academic departments/programs and students related to graduation processes and other relevant topics related to student records
Follow up with departments daily regarding students’ progress toward meeting program and graduation requirements.
Communicate daily with the registrar’s office regarding graduating students.
Develop and send email communications to department staff regarding prospective graduates’ grades after midterms and the fall semester.
Assist with student inquiries including navigating program and curriculum requirements on an as needed basis.
Train departments on graduation certification processes, student records maintenance, and other topics relevant for student services in the college.
RECORDSMAINTENANCEANDOFFICESUPPORT
Manages the approval process for students taking courses elsewhere, study abroad forms, permission to take course elsewhere, and undergraduates in graduate courses.
Reviews and submits exceptions to curricular rules and policies in collaboration with the Office of the Registrar.
Answers student inquiries about policies, requirements, and procedures within the college
Assists with data input/review as needed including transfer credit, changes to student information, etc.
Minimum Qualifications:
Formal Education
College degree required. Person(s) be capable of working under pressure of administrative deadlines and have experience in a confidential setting.
Job Knowledge
The Individual selected must have a strong understanding of undergraduate curriculum structures, academic policies, academic policies, degree completion requirements.
The individual selected must communicate professionally and efficiently within a fast-paced environment.
The individual must be proficient in all standard computer applications, including Microsoft office products, particularly Microsoft Word, Excel.
Knowledge of reporting and data analysis is beneficial to the role.
General knowledge of office principles and procedures is required.
The individual must have strong project management and organizational skills along with an approachable, upbeat and highly professional demeanor.
A team-based approach is essential with a proven ability to maintain the highest level of confidentiality, and attention to detail.
The individual must have an ability to work effectively in a service environment with frequent interruptions.
The candidate selected must be poised with strong customer-service skills and can work independently, using initiative and creativity to overcome obstacles and complete assigned tasks within allotted time.
The candidate must have the ability to work as part of a team and support all aspects of functions of the OUS.
The individual must have a deep commitment to the Liberal Arts and Sciences, a commitment to the University’s Catholic/Augustinian heritage, and the advancement of its mission, and to serving the needs of a diverse community.
