Finally, the Academic Advisor and Program Coordinator will support undergraduate admissions, including giving presentations, supporting Quaker Days, and collaborating with central Admissions.

Job Responsibilities
Program Coordination
- Run programs related to various advising team-led initiatives and special programs
- Coordinate New Student Orientation (Recruiting and hiring Orientation Peer Advisors, scheduling speakers, catering, reserving space, etc.)
- Serve as the Program Coordinator for the Clark Scholars Program in collaboration with the Faculty Director (Advising support, pre-orientation, monthly activities, website, Clark network communications, etc.)
Academic Advising
- Serve as academic advisor for undergraduate students as part of the advising team for both virtual and in-person advising sessions (e.g., MSE and ESE departments)
- Work with students on a case-by-case basis to provide enhanced support toward academic success and co-curricular development
- Connect students with wellness and student success resources across campus
Undergraduate Admissions
- Central Admissions and School initiatives such as committee meetings and presentations
- Support the Director of Undergraduate Admissions & Advising with coordination of tours and Quaker Days
Student Records
- Regularly maintain and update various student information systems, including but not limited to Advising@Penn, while working with the Registrar and OAS team to maintain robust academic documentation
- Assist OAS student affairs and registrar teams with routine student records activities such as audits, separation actions (leaves/returns), and compiling reports for case management
- Provide timely reports to central offices when student information system errors or inconsistencies are identified
- Support the continuous improvement of internal processes, technologies, and tools to streamline workflows
Policies & Procedures
- Participate in weekly Petitions reviews and provide relevant and timely information to the Academic Performance Committee each semester
- Provide timely updates to the advising team when policy decisions or gaps are impacting students
- Support the undergraduate educational mission by benchmarking best practices in peer and aspirational institutions to provide recommendations to the advising team
Qualifications
- A Bachelor's Degree and 3 to 5 years of experience in higher education working directly with undergraduate students or an equivalent combination of education and experience. A Master's Degree in higher education, student affairs administration, or a related field is strongly preferred.
- Demonstrated experience with academic advising and implementing programmatic activities is required.
- Understanding of academic benchmarking practices is preferred.
- Experience using problem-solving skills to identify and document student academic needs patterns; and demonstrated ability to successfully develop strategies and programs to meet those needs.
- Demonstrated understanding of the intersectional needs and concerns of diverse student populations in STEM.
- Familiarity with campus resources to support undergraduate student well-being and enrichment is preferred.
- Proficient with Google Workspace, MS Office 365, and able to adapt to new tools and technologies.
- Demonstrated organizational and planning skills to set work priorities under the pressure of deadlines.
- Demonstrated record of personal and professional initiative, flexibility, and careful judgment.
- High attention to detail and confidentiality.
- Excellent oral and written communication skills.
- Ability to work independently and as a team member.
