This position is available to Virginia residents as Richmond, VA in-office applicants.
YOUR ROLE
You will provide technical and strategic support to the Facilities team while maintaining the highest building standards in our Headquarters facility. You’ll actively contribute to the team standard of consistently providing excellent customer service in the support of the business and will serve as the “hub” for all building needs in Richmond. Your primary responsibility will be ownership and extreme care for our Richmond facility to ensure a fantastic associate experience each day. This vital role is also responsible for administrative tasks to support the Facilities Senior Manager including timely creation of Purchase Requisitions and processing of invoices. You will also assist with workspace assignments and floorplan updates and will become the go-to person for space planning. This role works with departments and staff to schedule large events in common areas, including organizing room configurations and finding the best option for the event location.
The Facilities team places high emphasis on providing a positive experience for Genworth associates. You will oversee multiple Facilities support processes and have high levels of associate and departmental interactions that support this goal. Attention to detail, drive to actively collaborate with associates, and a high level of customer service skills are required.
What you will be doing
- Manage day to day administration of Richmond Headquarters building
- Manage the Facilities Purchase Requisition process for all Genworth Sites
- Process invoices and assist other sites with their invoices
- Monitor usage of and ordering of office supplies
- Ensure all workspaces are clean and in good order; escalate issues as needed
- Assist with seating assignments and update floorplans accordingly
- Coordinate, plan and direct office event planning
- Assist with Environmental, Social and Governance (ESG) reporting and documentation
- Assist Senior Facility Manager with budget preparation
- Act as liaison with multiple vendors and building management as needed
- Supervise vendors while on site
- Manage office inventory activities for Richmond Headquarters
- Assist with miscellaneous projects, specifically related to process improvement and efficiency ?
What you bring
- A minimum of 3-5 years of experience in an office assistant/office manager role
- Experience with Microsoft Outlook, Word and Excel
- Highly motivated team player with exceptional customer service skills
