The Deputy Chief of Administration – Facilities role encompasses a plethora of duties specific to the ensuring efficiency in operations, supporting the DGS’ Agencies objectives, and providing leadership in an administrative capacity.
ESSENTIAL FUNCTIONS
- Procedure Development and Management: Co lead division efforts to draft, review, and update administrative and operational policies and procedures to ensure they are in aligned with current processes.
- Budget Management: Collaborate with agency Fiscal Division in preparation of the administrative budget, monitor expenditures, and perform cost-benefit analysis on administrative/operational services to ensure efficient use of resources.
- Recruiting and People Management: Work closely with HR to oversee recruitment, training, performance evaluation, and professional development programs for staff. Ensure compliance with agency directives.
- Contract and Procurement Oversight: Supervise the procurement of goods and services necessary for administrative functions, ensuring compliance with federal acquisition regulations and achieving cost savings.
- Facilities Management: Oversee the maintenance, security, and operations of DGS facilities, ensuring they meet safety standards and environmental regulations.
- Stakeholder Engagement: Serve as a point of contact for internal and external stakeholders on administrative matters, ensuring clear communication and fostering partnerships.
- Strategic Planning and Performance Improvement: Lead initiatives to improve the efficiency and effectiveness of administrative services, including adopting new technologies, streamlining processes, and enhancing customer service. Provide leadership, mentorship, and direction to administrative staff, promoting a culture of excellence, collaboration, and continuous improvement. Assist in the implementation of strategic plans for administrative and operational services, aligning them with the agency's goals and objectives.
- Reporting and Documentation: Prepare and present reports on administrative operations, performance metrics, and strategic outcomes to senior leadership and external oversight bodies.
EDUCATION AND EXPERIENCE REQUIREMENTS
EDUCATION: Have a bachelor’s degree in business administration, Public Administration, Management, Project Management, or related field from an accredited college or university.
AND
EXPERIENCE: have 10 years of progressively increasing responsibilities including four (4) years of supervisory experience is required.
LICESNES, REGISTRATIONS, AND CERTIFICATIONS: Professional certifications in facilities management may be required i.e. FMP, CFM, SFP, etc.
This position is an essential position of operations.
