Reporting to the Director, the Clinic Coordinator Supervisor is responsible for coordinating the staffing and day-to day operations for the central clinic operations team which delivers coordinated across all regions of the California market. The Supervisor works collaboratively with regional partners in practice leadership to ensure optimal operating efficiency and effective coordination of care, provider and teammate productivity and patient satisfaction. Will support the development of department procedures and update as needed to support changes in systems and workflows.
Primary Responsibilities:
- Work collaboratively with the Director in support of the business in care team model for the region(s)/market
- Lead team of Clinic Coordinators
- Conduct or participate in regular scheduled staff communication activities: Daily huddle, bi-weekly and/or monthly staff meetings
- Staff Training: Conduct new hire and periodic ongoing training for Clinic Coordinator staff and works with Director to coordinate and manage new hire and ongoing training for clinic coordinators
- Staff Time Management: Coordinate staff work schedules, and ensures accurate time recording; Manage staff PTO requests
- Manage day to day coverage needs, including same day reassignment of staff when there are call outs: Participate with Director in new staff selection, hiring and on-boarding, and manage team performance
- Oversight of critical processes: ensuring that metrics are being met of volume of calls, outreach conducted and visit prep completion
- Responsible for oversight and improvement of Clinic Coordinator processes and updating them as needed to align to system update, changes in organizational policies/procedures, and/or to meet regional needs
- Assess needed changes, redesign, and reinforcement of staff to ensure efficiency in workflows.
- Coverage: Provider Clinic Coordinators responsibilities as needed
- Assist in the handling of patient complaints and escalations from the site level
- Routinely monitors performance by ensuring PDV visits are being scheduled within 7 days; outreach list as being conducted and daily visit prep completion
- Reviewing metrics reports to ensure productivity is met

Required Qualifications:
- High School diploma or GED
- Demonstrated leadership related experience as a lead, champion/subject matter expert, or equivalent assignment
- Experience with quality and OCRA outreach list
- Experience with electronic health records
Preferred Qualifications:
- 2+ years of lead or supervisor experience
- Experience in healthcare, customer service, or related industry

California Residents Only:The salary range for this role is $48,300 to $94,500 annually.
