PURPOSE OF POSITION
The primary purpose is to support resident and faculty physicians for CMEF, the internal medicine residency program. The role includes management of many resident activities, maintenance of resident files, annual recruitment and yearly on-boarding of new residents.
RESPONSIBILITIES & EXPECTATIONS
- Coordinates recruitment activities for CMEF
- Provides support to CMEF faculty
- Provides support to the CMEF residents and program
- Coordinates 3rd year (M3) NEOMED Clerkship
- Completes biweekly payroll for CMEF faculty and residents
- Provides widespread support to the department of Medical Education

Job Requirements
|
- Coordinates recruitment activities for CMEF

- Exhibits working knowledge of the Electronic Residency Application Service (ERAS)
- Working knowledge of Thalamus platform for recruitment
|

- Performs the initial screening of applicants on ERAS.
|
|

- Ensures that all recruiting correspondence is prepared and typed accurately; i.e., response to initial inquiry, response to application which includes invitation for interview, interview confirmations, and any telephone follow-up or follow-up correspondence as requested by program directors.

- Arranges and monitors virtual interviews done through Zoom and acts as navigator and tech support for the candidates on each interview day

- Maintains each applicant's file and ensures that all necessary documents are received prior to NRMP deadlines.
|
|
|

- Manages all special recruitment efforts: i.e., dinners, residency fairs/school visits, recreational activities, promotional items, etc.
|

- Uploads Letters of Recommendation (LOR) into ERAS
- Orders promotional materials for recruiting.

- Provides support to CMEF Faculty

- Maintains schedules for Assistant/Associate Program Directors.

- Assists with correspondence.
- Understands and assists in faculty scheduling

- Schedules all sub-specialty rotations required for residents and students; works with and maintains connections with area medical offices/staff to ensure residents have ample opportunities to gain experience in various areas of medicine
- Working knowledge of the residency management system: New Innovations
- Assists with the organization of annual events such as graduation, welcome party, Harvest Gathering, half day retreats and orientation
- Tracks resident completion of assigned curriculum throughout residency including PEAC and IHI modules, Journal Assignments, and Patient Safety and Quality curriculum
- Processes checks for payments
- Assists Program Coordinator with resident block schedule to make office rotation payments
- Obtains faculty and resident signatures as needed (in-service, policy distribution, ect)
- Assist with set-up/clean-up of IM conferences, scholarly sessions, lunches, and resident business meetings
- Assists with room reservations for CMEF conferences/activities

- Maintains updated information concerning alumni; fellowship/practice information.
- Various tasks at the request of the CMEF Program Coordinator

- Distributes mail and provides clerical support for the residents and the Program Administrator.

- Understands and assists in faculty scheduling
- M3 NEOMED Clerkship
- Working knowledge of student tracking system Oasis
- Prepares, distributes and reviews clerkship packets to medical students in orientation and schedules meetings as needed
- Assists students as needed throughout clerkship.
- Prepares, distributes and collects evaluations from all evaluating Program Directors, ambulatory preceptors and residents for each M3 medical student and accurately records data on tally sheets and grade cards.
- Completes rotation and didactic schedules
- Keeps students on track with evaluations, H&Ps, patient evaluations & other items.
- Schedules mid-point and final evaluations for each student with the Clerkship Director
- Completes tasks assigned by the Clerkship Director

- Schedules conference meeting rooms and posts room schedules.

WORKING CONDITIONS:
- 7:30am – 4:00 pm M-F or hours as required by the job.
- Subject to frequent interruptions and changes in priority of duties throughout the day.
