This position provides technical and administrative support to the GSS staff as required for use of the Learning Management System. Responsibilities Administer Manage staff accounts, groups, courses, and communities across learning platforms. Create and manage training sessions and rosters. Administer evaluations. Provide support to system upgrade projects associated with the LMS. Monitor system workflows. Provide LMS reports and metrics as requested. Provide support to publish and test e-learning modules in LMS. Organize Organizes and coordinates course materials as well as pre- and post- requirements in collaboration with the training coordinator. Organize and prepare course resource materials shared in the LMS. Maintains records of attendance and successful completion of training in collaboration with the training coordinator. Develops or assists with development of and maintains division-specific training calendars; tracks required initial and refresher training schedules in collaboration with the training coordinator. Maintain, refresh, and distribute comprehensive GSS tracking reports. Support Identify, research, and resolve staff questions and issues. Monitor support inquiries and respond to LMS related concerns. Assists collaborative work group(s) and other training staff with their assigned duties. Researches and examines training products, reviews samples, demonstrations, and website content, and suggests additions or enhancements of the division’s training library to the collaborative work group(s). Performs other related duties as assigned. Partner Partner with supervisors and leadership across GSS to support their teams LMS access and reporting needs. Collaborates with outside consultants and GSS peers in support of system administration and maintenance activities. Collaborates with training staff and collaborative work group(s) in support of the design, drafting, and/or acquisition of new training resource materials. Communicate Customizes and delivers LMS-related communication based on division-specific communication plans. Performance Objectives for FY24-FY25 Coordination Workflow: Within the first ten weeks, develop proficiency with the tools and templates as used in learning and development coordination involving the LMS. This includes learning management system participant registration and session management, survey tool(s), Microsoft Outlook templates and groups, Zoom registration, PDF signature and workflow, and Microsoft Excel, and Microsoft PowerPoint. Supervisor Outreach: During the first fifteen weeks, connect with targeted supervisors across our program divisions to determine their communication preferences, staff experience with the LMS, and top LMS access/ experience priorities. With the input and support of the learning and development team, create a plan for consistent and proactive outreach based on preference data and our department’s strategic objectives. Team Collaboration: During the first two months, meet with members of the ARE and key contacts in other support divisions. Demonstrate taking initiative to help others, to learn your colleagues’ communication preferences and working styles, to anticipate and communicate potential workflow and collaboration problems, and to utilize humble inquiry to build collaborative work relationships. LMS Curriculum and Playlist Workflow: Within the three months, develop proficiency with the tools and templates as used in curricula and playlists involving the LMS. This includes the learning management system catalog management and reporting systems. Service and Support: Contribute to the development of a quality assurance rubric for LMS access and experience within the first three months. Contribute to the baseline measurement and reduction in wait time for LMS support and coordination requests over the first six months. Contribute to the increased awareness of costs and time constraints for LMS support and coordination. Support the identification of performance improvement targets withing the first six months. Preferred Skills Proficient with Microsoft Office Suite and related program software. Ability to use Microsoft Excel to create pivot tables, graphs, and charts. Education and Experience Associate’s degree required. At least two years of experience in a related field highly desired.
