HOW AN ADMINISTRATIVE ASSISTANT II WILL MAKE AN IMPACT:
Working in a discreet environment handling sensitive and personal information daily
Completing transactional duties with special attention to detail, being organized, and multi-tasking
Interacting with our ongoing POC customers, team members/Leads, and employees via phone, Skype or email
Handling and receiving incoming and outgoing correspondence
As an Administrative Assistant II, your day-to-day responsibilities will include:
Mail room administrators initially train at Sponsor's Headquarters mail room, then work from an assigned mail room as a singleton or dual-administrator basis
After training, mail room administrators assist customers with the shipment of mail and packages
Other duties include opening, distribute incoming mail, newspapers, faxes, and other publications/ documents sorting, and researching mail
Personnel should act in a professional manner with the customers ether in person, on the phone or through email communication
Candidates should assist customers with all mailing requests to include proper addressing; pick-up and delivery; and courier schedules
Mail room employees can be temporarily assigned to any of the mail rooms within the Northern Virginia area
Employees must possess excellent interpersonal skills to communicate in person and through written correspondence to facilitate mail delivery
Candidate will keep detailed records/metrics of all mail transitioning through mail room to highlight trends and auditability
Employees must be able to lift up to 50 lbs as needed to transfer packages within the mail facility
Candidates can be assigned to one of the mail facilities and will be required to change locations when needed to cover other mail rooms
Sponsor vehicle may be provided to facilitate travel between mail facilities if coverage change occurs on the same work day
Administrators must obtain access to sponsor internal system to communicate and research customer mail questions or problems. Administrators must possess a basic knowledge of Microsoft Office applications (i.e., Outlook, Excel, Word)
Training will be provided on sponsor's proper computer procedures
Administrators may be required to guide visitors and walk-ins to the correct location
Administrators will need to have office open/close responsibilities depending on mail room location
Administrators will keeps detailed records/metrics of all mail transitioning through mail room
Administrators receive and distribute mail as required
Administrators will be required to add leave to group calendars to ensure all team members are aware of potential absences
Administrators help organize and file written correspondence and mail receipts for record management
Administrators send correspondence for customer's mail pick-up and mail inquires
Mail Room Administrators at Level 2 are expected to support the daily function and management of their assigned mail room and the overall sponsor mail system
Duties include, but are not limited to managing mail room supply levels to ensure the assigned mail room is sufficiently stocked at all times; assisting customers with all aspects of the mail room operation in accordance with established standard operating procedures; communicating with the Sponsor mail room team lead, supervisor, and/or manager to ensure that mail and courier related administrative and security processes are followed at all times; and; to bring to Sponsor management attention any customer service issues that must be addressed with Sponsor personnel
WHAT YOU'LL NEED TO SUCCEED:
The position requires an active Top Secret/SCI with Polygraph clearance
HS Diploma and two (2) years of relevant experience or equivalent combination of education and experience
Mail room operating hours vary by location; start times are from 6:30 - 7:30 am/closing times are 3:00-4:00 pm depending on location
Proficient Word, Excel, Outlook, PowerPoint
The position is on customer site

The likely hourly rate for this position is between $23.80 - $32.20. This is not, however, a guarantee of compensation or salary. Rather, salary will be set based on experience, geographic location and possibly contractual requirements and could fall outside of this range.
