Responsible for performing administrative and coordination support for the Company’s health and life and disability plans, including but not limited to, enrollment processes, informing and guiding employees on benefits eligibility and coverage, maintaining documentation, running standard reports, maintaining benefit system setups and deductions in HRIS systems (UKG-UltiPro and Ceridian-Dayforce), and completing ACA and other government mandated forms and notices.
KEY DUTIES/RESPONSIBILITIES:
• Monitors and responds to emails and calls pertaining to benefit plans. Informs and assists employees with eligibility, coverage options, and enrollment processes in HRIS systems. Maintains professional, service-oriented relationships with employees, peers, and management team, while being attentive to the sensitivity and confidential nature of various employee situations.
• Contacts carriers/vendors to troubleshoot and resolve discrepancies/issues as directed.
• Assists with processing enrollment, termination, and life event changes, including explaining qualifying events, verifying accuracy and completion of supporting documentation, and assisting employees with HRIS entries as needed. Processes FSA and HSA enrollments, conducting bi-weekly audits to ensure accuracy.
• Partners with team on ACA eligibility process for variable hour employees, including queues-up processing and distribution of eligibility letters, monitors adherence to ACA regulations, and assists with the release of 1095C statements in UltiPro/Dayforce to meet the IRS 1095-C distribution deadline.
• Responds to requests and completes information requested for government forms and notices, including but not limited to: National Medical Support Notice (NMSN) or "Qualified Medical Child Support Orders" (QMCSO); performs routine benefit audits on a daily, weekly, and quarterly basis to provide benefits information required for Unemployment Insurance (UI) benefits to eligible claimants; and completes EDD Benefit Audit (DE 1296B) forms, Claim form DE 2503F for SDI, and Notices of Paid Family Leave (PFL) Claims filed within required deadlines.
• Assists with Leave of Absence administration as assigned: serves as liaison with LOA third-party administrator (Matrix) in the ongoing management of leaves of absence; refers employees to Matrix, enters and maintains status changes in UltiPro/Dayforce, and communicates with employees regarding benefits and premiums while on leave in a timely and accurate manner. Performs monthly audits on UltiPro information against Matrix leaves on hand to ensure employees have returned to work. Aids in collaborating with employees to ensure that any benefits premiums are paid for when they are out on a leave of absence, tracks payments received and works with treasury to ensure payments are processed in a timely manner.
• Assists with benefits system setups and maintenance in UltiPro/Dayforce for open enrollment and ongoing, including testing, troubleshooting, and validating benefit enrollment / life event changes, vendor interfaces and payroll deductions. Aids in monitoring HRIS system interfaces with file feeds to carriers/vendors to ensure accuracy and timeliness; identifies inaccuracies/variances and partners with HRIS, Payroll, and HR on problem resolution as needed.
QUALIFICATIONS:
Education - High School diploma or G.E.D. equivalent; Associate or Bachelor’s degree in Business Administration or Communications helpful.
Experience – 1-2 years general benefits or human resources experience including general understanding of benefit plans and related benefits systems within HRIS systems (UKG-UltiPro and/or Ceridian-Dayforce helpful).
Skills/Knowledge/Abilities
• Good oral and written English communication; Bilingual to read, write and speak Spanish required.
• General knowledge of health care plan processes and procedures, and compliance regulations (i.e. HIPAA, ACA, and COBRA)
• General knowledge and experience with benefits administration systems within an HRIS system (UltiPro or Dayforce helpful)
• Good organization and interpersonal/customer service skills
• Attention to detail and ability to manage multiple tasks efficiently and effectively
• Ability to quickly learn and apply new skills
• Ability to work under moderate supervision and collaboratively within a team environment
The non-exempt range for this position is $22.84 - $31.83 and is based on an employee located at our corporate headquarters in San Diego. If the candidate is hired in a different city to work remote, we will apply a geographic pay differential based on the cost of labor in the market in which the employee resides.
