Job Description
The Benefits and Leave Specialist will support the organization in administering employee benefits programs and managing leaves of absence and accommodations. The role will own the full leave of absence experience, including administering protections and payments arising from statutory requirements and company disability coverages. This position requires a blend of personal and analytical skills and a deep understanding of leave laws, process and trends.
Benefits responsibilities include but are not limited to:
Act as first point-of–contact for employee benefit related questions and inquiries. Responsible for day-to-day administration of benefit programs such as medical, dental, vision, life, disability and 401(k).
Ensure accuracy between our vendors invoicing, benefits administration system and HRIS. Prepare reconciliations for Accounts Payable and follow up with vendors to resolve any discrepancies.
Assist with our annual Open Enrollment cycle, including planning, coordinating communications, education sessions, system design changes and supporting renewals.
Leave of Absence responsibilities include but are not limited to:
Manage administration of LOA, ADA, and time-off programs and policies, including parental leave, medical or disability leave, military leave, or unpaid leave.
Analyze leave requests and determine employee eligibility and certification for approval or denial. Collaborate with People & Culture Business Partners & Generalists, Legal & manager for escalated and/or complex leave and ADA cases based on relevant information.
Assist in the development of alternative work arrangements or coordination of coverage with People & Culture Business Partners & Generalists, & manager.
Ensure all medical information is maintained in accordance with HIPAA regulations and privacy guidelines are closely monitored and effectively executed.
Maintain appropriate contact with all employees on leave and coordinate all aspects of return-to-work for employees on leave.
Conduct audits to ensure plans are working in accordance with company policy and applicable laws.
Manage Sick Time according to state-specific laws, and communicate any changes/updates to the Leadership, People & Culture and Payroll team.
Partner with third party vendors and cross-functional teams to ensure service levels are being met and processes followed.
Workers comp responsibilities include but are not limited to:
Manage the entire worker's compensation claims process from initial reporting to resolution. This includes documenting incidents, filing claims with insurance carriers, and monitoring claim status.
Coordinate benefits and services for injured employees, including medical treatment, rehabilitation, and disability accommodations. Work with healthcare providers and insurers to facilitate appropriate care and support for injured workers.
Collaborate with Risk Management, P&C BPs, supervisors, and injured employees to develop and implement return-to-work programs. Facilitate modified duty assignments and accommodations to help injured workers transition back to the workplace safely and efficiently.
Complete required governmental and carrier filings and manage posting requirements across our HQ and Store fleet.
Qualifications
Bachelor’s degree in human resources or equivalent experience
Minimum of 2+ years of experience in benefits administration, leave management and workers’ compensation administration.
Relevant certifications (e.g., Certified Employee Benefit Specialist) are a plus.
Strong knowledge of federal, state, and local employment laws, particularly FMLA, ADA, workers' compensation laws, regulations, and best practices.
Ability to exercise discretion, judgment, tact, and poise in handling highly sensitive and confidential information.
Detail oriented, with the ability to collect and analyze information, problem solve, with a focus on accuracy and compliance.
Advanced Excel user and proficiency in using the Microsoft suite of products, such as PowerPoint and OneDrive
Organizational skills with a demonstrated ability to navigate in a fast-paced & performance oriented environment.
Customer service oriented with a commitment to providing timely and exceptional support to employees.
