The District currently has a vacancy for 8 hours per day, 12 months per school year.
The examination process will consist of supplemental questions within the application, a job-related written examination, and a qualification appraisal interview followed by a selection interview for the top three candidates. The established eligibility list will be used to fill the current and future vacancies that may occur within one year for this classification.
BASIC POSITION INFORMATION
Under the direction of the Director of Maintenance & Operations or an assigned supervisor, to perform various administrative functions and clerical duties and assist the Director by performing public relations and communication services as assigned. Support operations and school staff and develop knowledge of and perform all Facilities, and Maintenance & Operations office duties as assigned.
DISTINGUISHING CHARACTERISTICS
The Office Assistant III classification performs various complex and diverse clerical duties involving independent judgment and action within an assigned high school counseling office or a specific office functional area. The Office Assistant IV classification incumbents provide clerical support and relieve the Assistant Principal at an assigned high school or the Director of Maintenance and Operations of various technical and administrative details. The Office Assistant I classification is the entry-level class in the Office Assistant Series. Incumbents in this classification are assigned routine and repetitive clerical duties and generally work under close supervision. Duties can usually be performed with brief instruction and require minimal previous clerical experience. The Office Assistant II classification performs a variety of clerical support duties involving independent judgment in the interpretation and application of broadly defined policies and procedures.
REPRESENTATIVE DUTIES AND KNOWLEDGE, SKILLS, AND ABILITIES

Perform various technical clerical functions in support of an assigned supervisor; coordinate office activities to reduce administrative detail for the assigned supervisor and other certificated or classified employees. E
Prepare and type letters, memoranda, forms, records, reports, bulletins, handbooks, questionnaires, requisitions, and documents; duplicate various materials. E
Receive and screen phone calls and visitors; schedule appointments and provide information and direct inquiries and visitors to the proper person or office; transmit confidential or sensitive information as appropriate; provide technical information concerning policies and procedures of assigned program or office according to established guidelines. E
Input, output, update and access a variety of records and information into a computer system. E
Compose correspondence independently or from oral instruction, letters, memos, and other forms of communication, requesting or providing information or letters dealing with school or District Service Center information. E
Review and proof a variety of forms and materials for completeness, accuracy, and conformance to established regulations and procedures. E
Answer telephone, greet students and the public, and provide routine information and direct inquiries to the appropriate person or office; make phone calls to request or provide information as directed. E
Perform technical responsibilities related to assigned functions such as compiling information from a variety of sources and preparing complex reports as required by District, County, State, or federal regulations; communicate with other agencies or departments to provide or obtain a wide variety of information. E
Prepare and maintain a variety of logs, files, and records. E
Assure the timely distribution and receipt of a variety of records and reports; request or provide information as necessary to assure completeness and accuracy. E
Operate a variety of office machines including a computer, typewriter, Dictaphone, calculator, and duplicating machine. E
Post cumulative records and other specialized records.
Assist in the registration process and special programs as assigned.
Administer first aid.
Perform related duties as assigned.

KNOWLEDGE AND ABILITIES
KNOWLEDGE OF:
Modern office practices, procedures, and equipment. Telephone techniques and etiquette. Record-keeping and filing techniques. Appropriate terminology of assigned function. Correct English usage, grammar, spelling, punctuation, and vocabulary. District organization, operations, policies, and objectives related to assigned function. Applicable sections of the State Education Code and other applicable laws. Interpersonal skills using tact, patience, and courtesy. Oral and written communication skills. Operation of a computer.
ABILITY TO:
Perform responsible and complex technical clerical work involving independent judgment and requiring accuracy and speed. Understand, and interpret rules and written directions and apply them to specific situations. Compose correspondence independently. Perform duties effectively with many demands on time and constant interruptions. Plan and organize work. Work confidentially with discretion. Maintain records and prepare reports. Communicate effectively both orally and in writing. Input data at 50 words per minute. Make arithmetic calculations quickly and accurately. Understand and follow oral and written directions. Operate a variety of office equipment such as computers, fax machines, and copy machines.
EDUCATION, EXPERIENCE, AND OTHER REQUIREMENTS
Any combination equivalent to: graduation from high school and three years of increasingly responsible clerical experience.
ENVIRONMENT: Office or school environment.
PHYSICAL DEMANDS: Dexterity of hands and fingers to operate a computer and standard office equipment. Reaching overhead, above the shoulders and horizontally to maintain and retrieve files. Hearing and speaking to exchange information on the telephone or in person. Seeing to ensure complete and accurate reports and letters. Sitting or standing for extended periods.
