The estimated base salary range for this role is $78,000 to $85,000 per year. Individual pay is based upon location, skills and expertise, experience and other relevant factors

BOK Modern is looking for an exceptionally organized, detail-oriented Bookkeeper/ Office Administrator with some HR administration experience to run our office. The right candidate will be self-motivated, able to multi-task, possess a great attitude with a problem-solving approach to challenges. Candidate must have a professional demeanor, thrive in a service-oriented position, be hardworking, punctual, honest, loyal, and a motivated self-starter. The ideal candidate will have an excellent work ethic and want to be a long-term contributing team member.
Please note this is an on-site position expected to be in the San Rafael, CA office five days a week.
Essential Responsibilities and Duties but not limited to:
Bookkeeping
You will be working with the Sr. Account Manager (EST. 50% of the week)
- Assist with weekly billing to customers.
- Assist with analyzing monthly and quarterly financials of pertinent COGS and expense accounts determining the roadmap to increase profitability while decreasing unnecessary expenditures.
- Assist with tracking 2024 budget for internal expenses.
- Manage Accounts Payable and processes bi-weekly check runs.
- Assist in preparing year-end audit and accounts reconciliations, including all supporting documents and regulatory compliance.
- Prepare bi-weekly payroll through ADP and enters journal entries.
- Credit card entries.
- Reconcile bank accounts.
Office Administration/ HR related responsibilities
You will be working with HR Knowledge and the Corporate Hurman Resources
- Track attendance, including setup of vacation accruals for all employees and document management (vacation request forms, master attendance tracking report for both exempt and non-exempt employees etc.)
- Act as the primary Human Resources point of contact between Corporate Human Resources, government agencies and BOK Modern
- Keep all insurances current. Research for new insurance, when needed.
- Actively engage with employees on issues relating to pay, benefits, employee relations, etc.
- Support recruiting efforts, including setting up interviews.
- On-boarding and off-boarding; ensures completion and submission of all new hire paperwork to Corporate Benefit Services and Payroll Teams
- Manage communication, education and enrollment of health insurance and 401K enrollments.
- Own employee record retention (i.e., personnel files, I-9 files, 401K files)
- Coordinate and execute all employee appreciation activities, including choosing locations, deciding menus, purchasing gifts and providing annual budgets to the Finance Manager
Office Management:
- Make travel arrangements for Principals and staff as requested.
- Coordinate staff lunches, meetings and events.
- Ordering of office supplies and groceries
Qualifications:
- Minimum 3-5 years’ experience in office administration, and accounting
- QuickBooks experience is a must.
- Architectural, construction, or design firm experience is a plus.
- Must be able to prioritize, multi-task and work in a fast-paced environment.
- Must be proficient in Microsoft Word and Excel
- Excellent verbal and written communication skills
- Outgoing personality, who is used to working independently in a fast-growth and fast-paced environment.
- Must have excellent ability to find solutions in challenging situations and communicate well with customers, contractors, project managers, and owners.
- Must have ability to juggle a multitude of deadlines and coordinate with cross functional teams.
