Oversees, manages, and facilitates key departmental functions in the Student Accounts Office including tuition and fee billing, payment processing, receivables management, third-party billings, installment payment plans, disbursement of financial aid and credit balance refunds, IRS Form 1098-T, student payment and billing systems, due diligence, and collections. Trains and supports the Student ERP system and associated third-party systems. Ensures compliance with all federal, state, and institutional regulations related to student accounts.
Essential Job Functions
Supervises, mentors and trains employees to assure a competent, efficient and professional staff with excellent customer service skills and understanding the guidelines of confidentiality.
Review business practices on an on-going basis for improvements in efficiencies. Develops and maintains policies and procedures in compliance with federal regulations and assure accountability and security of cash transactions and student financial records. As a key member of the students accounts and financial aid leadership team, collaborate with the Director of Enrollment Systems to develop strategies automating processes by leveraging features in current and future ERP and CRMs.
Maintains the accuracy of various A/R accounts including semester computer setup, data auditing, and departmental receipts. Assists staff with monitoring billings, collections, and refunds.
Oversees customer service pertaining to student financial services including updating information, composing and scheduling communications. Sets the tone for the division in operating with a professional demeanor with the ability to interface with internal and external customers with diplomacy and tact.
In conjunction with the financial aid office assure all disbursements of aid are in compliance with federal regulations and maintain efficient processing of student refunds. Work collaboratively with the Associate Director of Financial Aid to ensure both areas continue to meet the expectations put forth in the strategic plan for frictionless customer service and provide updates to the Director of Financial Aid on a regular basis.
Researches account-related tax reporting requirements and develops/maintains procedures. Completes and files forms.
Writes and provides reports for internal and external audiences.
Proficiency in Microsoft Word & Excel
Occasional travel to conferences
Minimum Qualifications
Bachelor’s degree.
4-7 years’ experience in a collections and accounts receivable environment, including supervisory experience.
Strong preference will be given to candidates with 8-10 years of experience in Higher Ed student accounts or accounts receivable environment related areas.
