Position Summary and Responsibilities
The Dining Services Assistant reports directly to the Director of Dining Services and supports the entire Vassar and Bon Appetit dining management team. The Dining Services Assistant provides administrative and operational support to the Dining program including, but not limited to calling dining employees to fill shifts, tracking overtime usage, and processing of catering orders.
Responsibilities:
Contact available dining employees based on the designated process to fill open shifts to ensure the continuous operation of the dining program.
Confirm the details of all catering orders with clients, prepare Banquet Event Orders (BEO) binders for weekly meetings, and flag management with any concerns or modifications.
Assist in addressing inquiries of how to use the catering order system, CaterTrax.
After consultation with Sous Chef on duty, print menus for management to display.
Maintain and distribute any policies and procedures as needed to support the operation of Dining Services.
Maintain the large employee bulletin board as needed, discarding outdated information.
Enter facility work order requests through the TMA system for all dining operations as needed and directed by management.
Provide excellent customer service for all inquiries made to Dining Services from the on and off campus communities through email, phone, and in person.
Manage and maintain the Vassar Dining management office space.
Qualifications
Required
Minimum of two years of previous administrative support experience or equivalent educational training.
Comfortable using technology to support operations including, but not limited to Microsoft Office, database management, and learning new programs and software as needed.
Ability to effectively complete detailed tasks in a busy environment.
Ability to interact effectively with a diverse community of guests, students and staff in a knowledgeable and helpful way.
Must have a professional, problem-solving demeanor; excellent judgment; demonstrated ability to work independently; strong organizational skills; and the ability to effectively manage deadlines and multiple, competing priorities.
