Napa County Health and Human Services Agency is seeking an Administrative Assistant for the Learning and Organizational Development (L&OD) unit. In this role, you will provide crucial support to the L&OD team, assisting in the coordination, implementation, and administration of training and organizational development activities that advance the strategic goals of the Agency.
What You'll Do in This Role:
Learning Management System (LMS) Support: Assist in managing the Agency's LMS, including user administration, course setup, and transcript management. Generate reports and assist with analyzing data from the LMS.
Training Coordination: Assist in scheduling training sessions and workshops, prepare and distribute training materials, and maintain training records.
Administrative Support: Provide support to the L&OD Project Manager and team, manage calendars, schedule meetings, and coordinate logistics for L&OD initiatives.
Data Management and Analysis: Collect and organize data related to training needs assessments and program effectiveness. Assist in creating reports and presentations.
Project Support: Help track project timelines, milestones, and deliverables. Assist in coordinating with contractors and other County departments.
Communication: Design promotional flyers and other communication materials using programs such as Canva and Power Point. Maintain and update the L&OD SharePoint site.
Documentation: Assist in documenting standard operating procedures and workflows. Maintain organized files and records.
Performance Evaluation Support: Process and track performance appraisals and assist in administering conflict of interest reporting.
Clinical Supervision Program Support: Collect and track forms related to the Agency's Clinical Supervision Program and assist in managing CE hours.
The Ideal Candidate:
Strong organizational and time management skills
Excellent written and verbal communication skills
Detail-oriented with a commitment to accuracy.
Proficient in Microsoft Office 365 suite, specifically SharePoint and Excel.
Experience with Learning Management System or E-Learning Systems
Ability to handle confidential information.
Self-starter with the ability to juggle multiple projects.
This recruitment is being conducted to fill one full-time vacancy. The list established from this recruitment may also be used to fill future full-time, part-time, limited term, and extra help vacancies for up to one year.
Position Requirements
EXPERIENCE AND EDUCATION Any combination of education and experience that would likely provide the required knowledge, skills, and abilities is qualifying. A typical way to obtain the knowledge, skills, and abilities would be:
Experience: Two years of responsible technical or administrative clerical experience, including experience working in personnel administration. Experience in a training environment is highly desirable.
Education: Equivalent to completion of two years of college with course work in business administration, public administration, or related field. (Additional qualifying experience may be substituted for the required education on a year-for-year basis.) A Bachelor's degree is preferred.
License or Certificate: Possession of a valid California Driver's License.
Any license, certification, or registration required for this position shall be maintained (i.e. active and in good standing) at all times during employment with Napa County. For continued employment with Napa County, you must maintain such license, certification, or registration to meet the minimum qualifications of this position.
Tentatively scheduled for the week of August 5, 2024. The most qualified candidates will be placed on the eligibility list and may be considered for current and future vacancies for up to one year.
