OVERALL RESPONSIBILITIES: The Marketing Coordinator is a creative, detail-oriented, and highly organized teammate who plays an essential part of Steinberg Hart’s marketing operations. This role requires working with cross-functional teams and engaging directly with leadership to assist in the pursuit of new work. Self-motivated with a keen eye for details, the Marketing Coordinator is comfortable working in a fast-paced, collaborative environment. This position is responsible for the writing, layout, and production of proposals and other graphic products to showcase and enhance the Firm’s marketing standards.
RFQ / RFP PRODUCTION:
Deliver top-quality, on-time, effective submittals of standard proposals, qualification packages, and presentations.
Engage with Marketing team staff to establish workload priorities, schedules and protocols for responding to RFQ’s/RFP’s in a timely, resource-efficient manner
Review and identify essential outlines for RFQ’s/RFP’s under review or under pursuit.
Provide the initial shell draft of proposals and interview materials.
Interact with firm-wide leadership, marketing staff and technical staff to obtain/exchange information as needed.
Coordinate or obtain information needed from consultant firms to be included in proposals or at presentations.
Develop non-technical proposal sections and tailor project descriptions and resumes as needed.
Update appropriate areas of corporate databases and network folders with project resume or proposal text information after every submission to maintain working data base for use within current pursuits.
Manage multiple projects and priorities simultaneously in a fast-paced, deadline-driven environment.
Work to grow team relationships with the design and practice leadership by fostering a high level of internal and external client service.
FIRM MARKETING:
Develop and manage production of specialty brochures, signage, invitations, mailers, announcements, etc.
Coordinate services of outside reprographic vendors for marketing production.
Assist with website management and other external marketing updates.
Assist to coordinate and implement public relations initiatives/tasks firm-wide.
Assist to coordinate and implement social media updates firm-wide.
Assist with cold calls or lead-finding research as appropriate.
Ensure stock of marketing supplies and equipment for marketing efforts are maintained and ready to go at a moment’s notice.
Use Deltek Vantagepoint to track pursuits, create project numbers and maintain project information.
Maintain and distribute weekly marketing reports and leads tracking.
Other duties and responsibilities as assigned.
Requirements
Bachelor's degree in Marketing, Communications, Architecture, Design, Art, Journalism, English or related field
1-3 years’ marketing communications experience, strong preference for the A/E/C industry
Proficiency in Adobe InDesign and Microsoft Suite required.
Strong visual communication skills with an eye for detail and graphic design
Strong written communication skills, proofreading, and editing skills.
Experience with Adobe Acrobat, Photoshop, Illustrator and Deltek Vantagepoint preferred
Ability to manage multiple deadlines, calendars, and tasks.
Willing to engage in limited travel within the United States.
