The Associate Executive Specialist is an individual contributor who report directly to the head of Partnerships & Innovation Enablement, providing high-level administrative support to senior leaders, facilitating smooth and efficient operations. This role requires exceptional organizational skills, attention to detail, and the ability to manage multiple high priorities. The individual will handle client-facing interactions with professionalism and sensitivity, ensuring a seamless experience for clients and internal leaders.

Handle confidential information with discretion and integrity
Serve as a liaison between clients and senior leaders, ensuring timely and effective communication
Coordinate emerging technology client meetings, events and conferences, including logistics and material preparation
Address client inquires and resolve issues, maintaining high level partnerships and professionalism
Collaborate with various cross-functional teams for alignment and efficient execution for the leadership team
Support project management efforts by tracking progress, deadlines and deliverables
Facilitate communication and coordination among senior leaders, other Executive Specialists and teams
Manage and prepare travel and expense reports and assist with budget tracking
Assist with planning and execution of special projects and initiatives
2+ years of Executive Administration experience, or equivalent demonstrated through one or a combination of the following: work experience, training, military experience, education
Strong communicator, highly organized in creating structure, detail-oriented with good discipline, and patient
Proactive and resourceful problem-solver.
Strong interpersonal skills with the ability to interact effectively with clients and senior leaders
Experience in a client-facing emerging technology environment
Ability to prioritize and manage multiple requests at the same time
Adaptable and able to thrive in a dynamic, fast-changing environment
Job Expectations:
- Ability to work on-site at approved location at least three days a week
