Job Description

The Value & Implementation Outcomes Research organization, part of Our Research Laboratories, is a research organization that generates real world evidence to inform evidence-based decisions that improve access and health outcomes for patients around the world.  This role of lead administrative associate will support the vice president and leaders of the V&I Outcomes Research vaccines team.

The primary activities include and are not limited to the following:

• Manage all administrative and logistical needs for the VP
• Manage complex calendar, special meetings and projects
• General Secretarial/Clerical duties
• Prepare, process and reconcile expense reports, purchase orders and payment requests as needed
• Work requires the coordination and performance of multiple tasks while understanding the project principles and technical skills related to own work assignments.
• Work priorities and activities are reviewed with little supervision.
• Produces/completes various work assignments requiring advanced analytical ability, independent judgment, creativity and problem-solving skills.
• Schedules complex, multi-leg and international travel
• Process Visa requests as needed for travel
• Support recruiting efforts for the VP to include scheduling candidate visits, collecting feedback and onboarding as needed
• Supports the use of Team Sites, including ownership of LT site, to include uploading documents, keeping track of meetings and agenda, org charts, administrative assignments for 20+ administrative team
• Communication Skills must be at a level to effectively interact with Company executives and internal/external clients both on-site and remotely to maintain workflow.
• May coordinate special projects within the division/area.

Education:

• Required:  High School Diploma  
• Preferred:  Advanced education or certifications such as (e.g. Certified Administrative Professional, Project Management Professional Certification, Professional in Human Resources Certification)

Required:

• Minimum of (10) years Administrative Assistant experience
• Minimum of (5) years Administrative experience supporting Sr. Directors / Executives
• Advanced computer skills using (MS Outlook, Word, Excel, Power Point) and operation of other Company internal systems
• Demonstrated experience scheduling and coordinating complex, multi-leg domestic and international travel
• Experience processing Visa/Passport Applications
• SAP experience processing Expense Reports, Purchase Orders, Payment Requests. Vendor Add Forms, as well as run reports within SAP
• Ability to handle and prioritize a large number of simultaneous assignments
• Event Planning/Coordination experience 
• Extraordinary attention to detail
• Outstanding communication and people skills
• Budget/Finance Management experience

U.S. Hybrid Work Model

Effective September 5, 2023, employees in office-based positions in the U.S. will be working a Hybrid work consisting of three total days on-site per week, generally Tuesday, Wednesday and either Monday or Thursday, although the specific days may vary by site or organization, with Friday designated as a remote-working day, unless business critical tasks require an on-site presence.  This Hybrid work model does not apply to, and daily in-person attendance is required for, field-based positions; facility-based, manufacturing-based, or research-based positions where the work to be performed is located at a Company site; positions covered by a collective-bargaining agreement (unless the agreement provides for hybrid work); or any other position for which the Company has determined the job requirements cannot be reasonably met working remotely.
