Overview
The Administrative Assistant is responsible for providing administrative support and research for multiple tasks of the Departments of Primary Care and Osteopathic Manipulative Medicine
Responsibilities
Assists with general correspondence, memoranda, scheduling appointments and testing
Assists with scheduling appointments and meeting minutes
Assist Faculty with Course, club, committee, and project needs as appropriate
Organizes and maintains electronic and physical files and records including databases and department materials
Assist with preparation and editing of files, powerpoints, spreadsheets, documents and other materials
Fields phone calls and keeps phone records
Coordinates with Administration, Departments and outside entities
Assists with reports and maintains records
Compiles and tabulates statistical information as appropriate
Assist in the administration of practical exams and OSCEs, including technical operations, scheduling, set up and serving as proctor support as needed
Assists with entering and editing questions iClicker, and other programs
Assists with preparing classroom material and storing all equipment after use
Prepares weekly materials needed for OMM lab: student weekly attendance sheets; faculty laboratory handouts; faculty meeting sign-in sheets; students attendance sheets at weekly OMM enhancement sessions.
Assists in coordinating student work in OMM labs
Prepares, breaks down, organizes and files student and faculty paper and electronic materials for classes, labs, OSCEs and other activities from weekly Primary Care and OMM Department folders.
Duplicates and distributes materials
Manages room reservations
Assists with the posting of course materials on Canvas site.
Updates course documentations and lab manuals
Assists with entering, posting, and downloading OSCE SOAP Notes, questions other materials using ExamSoft
Assist with posting materials and extracting materials from the learning management system and other systems (ex: Canvas, CAE)
Records student grades and attendance in Excel or other format
Assists in submitting requisitions, purchase orders, budget transfers, invoices through TouroONE or other electronic system
Assists in maintaining inventory records
Assists in obtaining quotes from vendors
Updates course documentations and lab manuals
Prepares for meetings, transcribes and distributes minutes
Composes and edits correspondence and other documents
Assists in processing personnel items
Assist with Course set up including equipment, signage and supply set up and take down
Work across departments and campus as needed
Flexibility in hours may be required on occasion (example start at 7am or work until 6:30pm)
Keeps all materials confidential as required by FERPA (school and departmental policy)
Other duties as assigned by Vice Chairs
Qualifications
Education/ Experience
Associate in Arts required.
At least 3 years administrative experience
