Job Summary
The Office of Advancement at Oberlin College seeks applications for the position of Assistant Prospect Manager. This is a full-time, 12-month Administrative and Professional Staff position reporting to the Director of Advancement Research.
Responsibilities
The Assistant Prospect Manager assists the Director of Advancement Research with portfolio management, and the identification, research, and analysis of top-tier prospects and donors for the Office of Advancement, in support of the fundraising efforts for the college.
Essential Job Functions
In conjunction with the Director of Advancement Research, identify and evaluate individuals as prospective major gift donors, and ensure that frontline fundraising staff have complete and updated portfolios designed to meet the college’s fundraising goals.
Monitor and maintain prospect tracking within the alumni and donor database, including making assignments, updating prospect statuses, and entering and maintaining proposals.
Assist the Director of Advancement Research in supporting the work of major gift officers by providing information that will help inform moves management activities such as qualification, cultivation, and solicitation strategies.
Assist with preparing materials for prospect review meetings with fundraisers, as well as for fundraising project meetings with division and college leadership.
Utilizing annual wealth screening and affinity scoring, proactively discover, research, and prioritize potential new prospects for the college.
Participate in all advancement research activities for the college, including, but not limited to, identification of prospects, prospect tracking and management, briefings for major events and visits, profiles, and requests for specific information related to advancement projects.
Conduct financial and biographical research on leadership gift prospects, including investigating, analyzing, and synthesizing pertinent information into concise reports.
Review a variety of news resources and internal reports to identify new prospects, as well as to update information on existing prospects and donors.
Prepare individual and event profiles as needed, as generated by the database.
Manage the alumni file digitalization project, including ordering files from the off-site storage vendor, arranging scanning by student workers, and ensuring files are properly indexed in OnBase.
Handle all information ethically, accurately, and confidentially.
Undertake special projects and duties as directed.
Marginal Job Functions
Required Qualifications
B.A. degree, 4-5 years of experience in prospect research and portfolio management, or equivalent combination of education and experience.
Proficiency with a relational database and online research using multiple data sources (eg, Lexis/Nexis), and the ability to interpret and summarize complex financial and biographical data for fundraising purposes.
Strong critical thinking skills and the ability to identify and correct data inconsistencies.
The ability to work both independently and collaboratively as a member of the Advancement Operations team.
Demonstrated ability to plan, manage, and monitor multiple projects simultaneously and work effectively under time constraints.
Competency in problem solving and navigating a complex working environment.
Excellent verbal and written communication skills.
Desired Qualifications
Experience in prospect research and portfolio management at a higher education institution.
Experience with Blackbaud Raiser’s Edge NXT, ResearchPoint, and Target Analytics modeling and affinity scores.
