Michael Baker is seeking a talented Document Control Specialist with a specialization in construction projects and program management, to help make a difference in our Rail and Transit Practice. Under limited supervision, the candidate will assist a program management team with the definition of standards and workflows for document management as well as supervise the collection, authoring, publication, storing, and retrieval of documents across a variety of stakeholders. This position will work across traditional and SharePoint file management structures while supporting a dedicated technical team in the establishment and utilization of a program-specific Project Management Information System (PMIS).
The person shall work from our Alexandria office. In-person office presence with the project manager is required and expected, minimum four days in-person with up to two days remote or virtual work available at the project manager’s discretion.
Responsibilities include:
- Maintains the master electronic project files.
- Organize and maintain file system, file correspondence and other records.
- Define and maintain file naming conventions, retention policy, etc.
- Track process of changed documents through the PMIS and/or hard copy workflow.
- Prepare electronic document templates for transmittals, letters, activity logs, and other programmatic functions.
- Assist the project manager in gathering of documentation to support preparation of status reports and invoices.
- Scan documents, update procedures, and type Word documents as required.
- Maintain confidentiality of sensitive documentation.
- Keep the project team updated on new document versions and how to obtain access.
- Interface/upload documents as directed to client/stakeholder PMIS/ERP document control systems.
- As needed, assist Project Managers to meet document deliverable dates and properly document dates of incoming and outgoing documents.
- Support Quality Management in the performance of quality reviews and audits.
- Assist team in client interface and providing access to pertinent information.
- Support team with day-day to program administration duties as assigned.
Occasional to moderate travel may be required.
PROFESSIONAL REQUIREMENTS
- Two year degree in Engineering Technology, or Construction Management, or a CADD Technology degree beneficial.
- 0-3 years of experience in a design or construction office that required distribution and tracking of plans.
- Knowledge of the Construction Management industry and how engineering plans are conveyed to the contractor.
- Proficiency with Microsoft Windows and Office (Word/Excel) and working with Adobe preferred.
- Can work independently without much guidance.
- Detail oriented as well as organized, and multitasker.
- Excellent verbal and interpersonal skills and problem-solving ability
- Strong work ethic and integrity
- Attitude toward continuous process improvement.
COMPENSATION
The approximate compensation range for this position is $61,572 to $84,046. This compensation range is a good faith estimate for the position at the time of posting. Actual compensation is dependent upon factors such as education, qualifications, experience, skillset, and physical work location.
