Position Summary
The Advancement Coordinator will serve a critical role in providing support for the Vice President for University Advancement and the Development, Alumni Relations, Advancement Operations, and University Events units. The Advancement Coordinator will be a primary point of contact representing University Advancement with both internal and external constituencies, serving as a professional, hospitable, and positive representative of University Advancement.
Essential Duties
Serve as a primary client service contact point for internal and external constituencies and communications, including email, telephone, and letter correspondence.
Provide support for University Advancement leadership, especially as it pertains to the administrative management of the unit.
Organize and manage University Advancement leadership calendars.
Work closely with the Office of the President to coordinate with and support activities involving the President and University Advancement.
Provide administrative support to the division (e.g., manage supplies, stationery and office maintenance requests).
Support Advancement-related events, including preparation for and day-of responsibilities.
Support Board of Trustees committee work for the University Advancement Committee and the Trusteeship and Governance Committee (e.g., take and complete meeting minutes, assist with report preparation, communicate with committee leadership and members).
Support donor stewardship efforts, including managing Advancement leadership correspondence and communications with donors, report preparation, and related record-keeping.
Support advisory council efforts (e.g., member communication and coordination).
Serves as Spend Coordinator, overseeing the University Advancement budget including processing invoices, expense reimbursements, credit card statements, and all appropriate form submission.
Update and maintain accurate constituent records in CRM database including entering/updating constituent information and status.
Compose and administer routine correspondence, including proofreading to ensure quality, consistency, and timely preparation and distribution.
Perform gift-processing activities and support.
Secondary Responsibilities
Perform other duties as assigned by the Senior Advancement Team.

Required Qualifications
Demonstrated success in and enjoyment of interacting with donors, administrators, faculty, trustees, volunteer leaders, alumni, elected officials, community leaders, and/or other similar constituents.
Highly skilled in Microsoft Office Suite.
Experience with databases or Constituent Relation Management (CRM) systems.
Experience working in a dynamic and high-paced environment and able to manage multiple tasks simultaneously with short deadlines.
Attention to detail, team-focused mindset, positive energy, sense of responsibility for success, and sense of humor are paramount.
Demonstrated ability to handle confidential matters and sensitive information.
Preferred Qualifications
Bachelor’s degree and 3-5 years of experience in an administrative support role or an equivalent combination of education and experience.
Previous experience working in Higher Education.
Physical Requirements and/or Unusual Work Hours
There may be some light lifting of materials required (under 20 pounds).
Some events or peak work periods may require work hours outside the traditional business day on nights and weekends.
