Position Summary | Gettysburg College seeks a dynamic, service-oriented Senior Administrative Assistant to support Counseling and Wellness Services. This position reports directly to the Executive Director of Counseling and Wellness Services. Enrolling 2,400 undergraduate students from over 40 states and nearly 40 countries, Gettysburg College is known for its rigorous liberal arts and sciences education with a student experience that intentionally integrates learning that occurs inside and outside of the classroom. We serve an increasingly diverse liberal arts community of 2,300 undergraduate students, including 20-25% first-generation college students and over 16% Pell Grant recipients. As a member of the Counseling and Wellness Services staff, the Senior Administrative Assistant is responsible for providing general administrative support to the department, specific administrative support to the Executive Director, conducting an initial screening of students’ mental health needs and providing information to callers about campus and community resources as appropriate. This position is also responsible for providing health records system (Medicat) management for the campus community. This is a full-time support staff position during the academic year, with reduced hours in the summer months. The Senior Administrative Assistant’s responsibilities include, but are not limited to: support the day-to-day operations of Counseling and Wellness Center, including the welcoming of students, guests, and scheduling student appointments; screen students seeking appointments to determine appropriate appointment type: consultation, returning client, or crisis; screen and manage concerns submitted by other departments and community members for urgent and emergency appointments, sharing resources, and mobilizing support as indicated; inform students of services available to them through Counseling and Wellness Services, other departments, and the community, as appropriate; manage schedule for all staff clinicians and consulting psychiatrist; manage electronic medical records platform, Medicat, for the college; provide administrative support to the Executive Director and 6 professionals; produce regular reports on center utilization, outreach programming and monitoring of trends; oversee budget reconciliation and payment of contracts; manage department website; assist with development and execution of outreach events and sponsored programs; assist with the development and implementation of departmental business practices; and supervise student workers. |
Qualifications | Qualifications: A high school diploma or equivalent is required. A minimum of two years’ related experience or education required. Experience in working with college students preferred. Experience in healthcare services preferred. The ideal candidate will have a solid understanding of general office principles and the following demonstrated abilities: ability to communicate verbally and in writing, including demonstrated cross-cultural competency in communications with diverse groups of students and colleagues; work in a fast-paced environment, prioritize multiple work demands simultaneously, maintain a high level of accuracy, and meet deadlines; maintain confidentiality; work both independently and collaboratively in a dynamic environment; be service-orientated and have the ability to interact positively with students, faculty, and the public, as well as a commitment to participating in and building an inclusive, equitable and diverse campus community.
