Job Summary
Under general supervision, the successful candidate will be responsible for assisting with communication tasks and strategies, and event coordination and planning for the Division of Geological and Planetary Sciences. Duties include website development and maintenance, digital and printed publications, data collection, and event project planning and support. This is a 20-hour per week position.
Essential Job Duties
Development and maintenance of division and affiliated websites, including creating and updating calendars, contact lists and directories, news announcements, faculty honors, and awards.
Attend monthly Communicators Council meetings and provide administrative support to divisional committee meetings as assigned.
Edit, organize, and publish images (logos, photos, videos) for posting to the division website.
Develop print and digital publications such as faculty brochure, phone directory, materials for lectures and special events.
Create and manage web-based registration forms and documents for class and research field trips, vehicle use requests, and meetings/events.
Collect and disseminate website feedback. Identify trends and patterns in how visitors engage with the division website.
Create group information and various lists for database entry.
Assist with division newsletters and work with faculty and staff to create/update profiles/news.
Assist with the planning and execution of division-hosted special events and programs, including announcements, registration, catering, rentals, and permitting.
Other duties as assigned.
Basic Qualifications
Bachelor’s degree.
Excellent customer service skills with the ability to interface with people at all levels inside and outside of the division.
Ability to multitask and work well under pressure with meticulous attention to detail and a positive attitude.
Excellent organization and time-management skills. Strong verbal and written communication skills.
Ability to demonstrate initiative in independently solving problems and a commitment to continual improvement.
Experience with database entry.
Understanding of social media, including Facebook, Twitter, Pinterest, YouTube, LinkedIn, and Instagram.
Proficient computer skills of Microsoft Office (Word, Excel, Outlook, Access, PowerPoint, Google Forms).
Working knowledge of Adobe Creative Suite (Photoshop, Illustrator, In-Design, Publisher).
Comprehensive knowledge of Adobe Dreamweaver (Wagtail, PHO, HTML).
Experience with event planning.
Preferred Qualifications
Experience in higher education, working with faculty, students, and staff.
Experience with making travel arrangements and processing travel expense reports.
Familiarity with databases, basic website design, and graphic design.
Experience with Caltech administrative applications and systems.
