Basic Function
The Operations Coordinator is integral to two core aspects of Center for Global Programs (CfGP) operations: (1) assisting with office efficiencies and (2) managing all accounting (accounts payable) related to study abroad, domestic off-campus study, and faculty that travel with students. The candidate will be knowledgeable about academic and institutional policies and practices to respond to inquiries accurately and provide professional support for the Center’s workflow. The candidate will be self-starting, able to execute tasks/projects independently, and operate with confidentiality. General duties include tracking and paying invoices, updating off-campus budget sheets on an annual basis, assisting with all aspects of Center programming, and supervising student interns. This position reports to the Center for Global Programs Director, is a hands-on team member, and supports the entire Global Programs Team.
Essential Job Functions
Creates assets to support daily operations, including queries, reports, spreadsheets, training documentation, presentation slides, handouts, and materials as needed for staff meetings and recording minutes; coordinates office calendar for all CfGP programming and initiatives; Manages processing purchase orders and payment requisitions, creates and analyzes monthly budget reports, and serves as the primary contact for campus partners and third-party vendors for all global learning opportunities and logistics overseen by the Center for Global Programs; Partners with other offices to coordinate special events and programs hosted by the Center; Manages business expenses, travel, and other related issues that support the Executive Director, including completion of monthly purchase card reporting; Recruits, trains, and supervises 3-4 student interns.
Minimum Qualifications
Three to five years of administrative business experience and/or experience in higher education in an administrative support capacity; experience with accounting/accounts payable processes; superior knowledge of Microsoft Excel; experience with Google Workspace and university procurement, procedures, and systems.
Preferred Qualifications
At least one year of experience with Terra Dotta or a similar database; at least one year of experience working in Banner or other Student Information System.
