JOB DESCRIPTION.
The Program Assistant performs a wide range of administrative and office support activities for the program to facilitate the efficient operation. This position handles confidential information and must adhere to strict HIPAA guidelines.
JOB COMPLEXITY.
Assist supervisor with daily administrative duties including tracking contract deliverables, schedule coordination, data entry, facility organization, program inventory, including disposal and any fiscal needs, and accounting for cash receipts
Ensure data input and other information is accurate and current
Assist with program audit preparation and generate monthly and quarterly reports
Design and manage community databases, directories, and rosters
Provide support through data input and management for applicable electronic medical record system used
Provide Empower support and make necessary timely corrections on any data as requested by staff or county
Process client referrals, intakes and discharges of clients
Orient and train new staff and interns on relevant office procedures
Prepare various confidential documents for staff
MINIMUM COMPETENCIES.
Minimum of an AA degree or any equivalent degree
One-year experience in an office setting required
Experience and knowledge of office equipment including computers, fax machines, photocopy, voice mail/telephone
Experience with data collection
Bilingual in Spanish/English preferred
Understanding of HIPAA requirements
Excellent communication, organizational and computer skills
Ability to perform data entry and MS Windows application
Must be 18 years of age or older
Valid TB results required
Must provide proof of COVID-19 Fully Vaccinated status
Must receive Fingerprint Clearance upon hire (paid by Harmonium)
Must have reliable transportation valid CA Driver’s license and maintain proof of current automobile insurance
COMPENSATION.
- Starting Rate: $18.07 per hour (all new hires begin at starting salary regardless of experience)
- Hours: Part Time, 25 hours per week
Benefits: Our part time benefits package includes dental, vision, pet insurance, life insurance, and critical illness. We also offer a 403b Retirement Plan with a match of up to 2% based on years of service. Time off accrual for this position includes 1 hour of CA Paid Sick Leave per 30 hours worked with a maximum accrual of 80 hours per calendar year.
