Job Description: Administrative Assistant
We are looking for an administrative assistant to help us manage various tasks. The ideal candidate will be organized, proactive, and have experience with account administration, purchase orders, inventory management, coordinating lunches, updating the calendar, booking meeting rooms, ordering supplies, receiving mail, greeting visitors and key leaders, providing tours, and ensuring employee engagement. They must have intermediate skills in MS Office, be familiar with SAP, and have strong follow-up and communication skills.
Responsibilities:
- Help with account administration by keeping accurate records and updating account information.
- Process purchase orders and ensure timely delivery of products and services.
- Manage inventory and check stock regularly.
- Coordinate lunches, taking into account dietary restrictions and preferences.
- Update the monthly calendar and post the lunch calendar to inform employees of upcoming lunch arrangements.
- Maintain meeting rooms, ensuring they are clean and well-equipped.
- Order office supplies and ensure timely delivery.
- Receive and distribute incoming mail.
- Greet visitors and key leaders, providing a warm and professional welcome.
- Conduct tours of the facility for visitors and new employees, highlighting key areas of interest.
- Foster employee engagement by organizing and coordinating team-building activities.
- Use MS Office and SAP for various administrative tasks, such as data entry and report generation.
- Maintain strong follow-up and communication skills.
Qualifications:
- Proven administrative assistant experience.
- Strong organizational skills and attention to detail.
- Proficient in MS Office, specifically intermediate-level skills.
- Familiarity with SAP or other similar software systems is preferred.
- Excellent communication and interpersonal skills.
- Ability to prioritize tasks and meet deadlines.
- Professional and friendly demeanor.
- Ability to work independently and as part of a team.
- High level of confidentiality and discretion.
- Bachelor's degree preferred.
