The selected individual will be responsible for administration of the Bank’s Knowledge Management assets and system. Administrator will be responsible for organization, classification, measurements, and continuous improvement(s) related to the Knowledge Management system and process. In addition, responsibilities include creating and maintain a knowledge-sharing environment and collaboration, conducting assessments and surveys, and capturing and creating knowledge effectively. May manage aspects of projects from inception to implementation to ensure adherence to knowledge management and process governance requirements. Administrator will work closely with various members of the Bank Operations business units and support teams to complete analysis on knowledge management assets. Administrator will take a strategic approach when implementing Knowledge Management solutions to better meet the bank’s overall strategic goals and optimize the value of organization knowledge. MAJOR JOB ACCOUNTABILITIES: Knowledge Management System Administration – 30% Consults with Knowledge Management Vendor to identify solution(s) or additional resources Primary contact for vendor relationship which includes monitoring contract requirements and analysis to confirm platform is utilized effectively and efficiently Identify potential Knowledge Management system opportunities, improvements, or enhancements Ensure Knowledge Management access is available to appropriate users by maintaining control the flow of information and accessibility Develop taxonomies, ontologies, and knowledge structures to organize and classify Knowledge Management content to maximize usability and accessibility Facilitate the capture, creation, and dissemination of knowledge within the organization. Convert tacit knowledge into explicit knowledge to ensure critical information is documented using current standard and governance requirements Ensure knowledge technologies are up-to-date and working accordingly Controlling the accessibility and flow of knowledge within the organization and to external parties Demonstrates ability to translate high level conceptual information and ideas through to execution of documents in a manner that is thorough and applicable for the intended audience Collaborate with BOPP Coordinator and other governance teams to ensure consistency Project Management – 30% Work closely with other support department (Risk Management, Reg Management, LaPD, BPM etc.) personnel to ensure all applicable requirements are included in documentation Support special projects as assigned Prepare presentations and/or proposals related to assigned projects Assist in the implementation of process improvement, which may include creation of process maps, related to assigned projects Efficiently manage internal and external resources to meet milestones and targeted completion dates Support change management practices related to the operations policy and procedure program Collaborate with stakeholders to define knowledge management objectives, establish key performance indicators, and implement initiatives that enhance knowledge flow, innovation, and organizational efficiency Develop and implement knowledge management strategies aligned with organizational goals Leverage tools and methodologies such as knowledge mapping, storytelling, and communities of practice to capture and preserve knowledge effectively Encouraging a culture of knowledge-sharingand collaborative workflow among departments and project teams Interface with stakeholders and SME’s to gather appropriate details related to policy, procedure, and job aid requirements. Individual will also conduct a Needs Analysis, as needed, for assigned projects Training Development and Coordination – 25% Ensure that employees are sure of the knowledge management processes, including the purpose of appropriate process documents Provide relevant coaching, training, and support to champion a knowledge management culture Foster a learning and collaborative environment, as well as capturing new knowledge in the most effective way Provide training and coaching regarding all Knowledge Management matters Encourage the use of collaborative technologies & techniques to facilitate the sharing of ideas, insights, and best practices Establish communities of practice, organize knowledge-sharing events, and encourage cross-functional collaboration to drive innovation and organizational learning Assess the organization's knowledge needs, identify gaps, and devise strategies to address them. Promote collaboration and knowledge sharing through defining, supporting, and encouraging the use of knowledge to employees of all skill levels and roles Providing relevant coaching, training and support to champion a knowledge management culture Monitor & Measure Knowledge Management Efforts -15% Develop, measure, and monitor process, as a basis for auditing, for certifying and evaluating content created in the Knowledge Base system Assess usage of knowledge repositories, track knowledge-sharing activities, and analyze the effectiveness of knowledge transfer processes Identify areas for improvement, refine knowledge management approaches, and implement targeted interventions to enhance knowledge utilization and overall organizational performance Continuously evaluate the effectiveness of knowledge management processes, gather feedback, and refine strategies to ensure the organization remains adaptable and responsive to changing environments Effectively use various tools, including but not limited to surveys, workshops, or reporting, to capture Knowledge Management user experience Monitor progress by leveraging analytics to assess the impact, engagement, functionality, and effectiveness of knowledge management strategy Required Skills Position requires at least 5 years of banking experience. Prior significant experience in financial institution credit, deposit, and operations with a strong knowledge base of financial institution controls are key components. Bachelor of Science / Bachelor of Arts degree, ideally in English or Business Administration, preferred but not required. Must have a thorough knowledge of general banking products, regulations, and processes. Proficient in Salesforce, Microsoft Office, including Word, Excel, PowerPoint, Visio, and Outlook. Must possess strong oral and written communication skills with an emphasis on proficiency in written communications, specifically process documents. Must also have excellent communication skills to effectively work with diverse groups of internal & external stakeholders. Strong attention to detail, including the ability to accurately edit written documentation Work is under minimal supervision, where the work requires a higher level of problem-solving skills; situations require general knowledge of the work and the department. Ability to travel to remote sites within the Maryland, Northern Virginia, and DC area and possess a valid Driver’s License. SPECIFIC PHYSICAL REQUIREMENTS: Work requires reasonable mobility in and around the work area. Ability to use standard computer and phone systems is required. WORKING CONDITIONS: Normal office environment where there is almost no discomfort due to temperature, dust, noise, or other disagreeable elements.
