POSITION SUMMARY
The Special Events Team seeks a full-time team member who will assist in a variety of school events ranging from large public events like the annual commencement ceremonies and conferences to smaller private gatherings such as receptions. The successful candidate MUST be a detail-oriented, divergent thinker and a self-motivated multitasker. Have the ability to collaborate, is open to feedback and can effectively work in highly pressurized situations. They will need strong data management and computer skills, have some experience and a strong interest in special events.
The position reports to the Executive Director of Events, supporting the Deans, School Wide and Advancement Events.
Occasional evening/weekend and travel schedule as needed.
Job Responsibilities under the direction of the Executive Director of Events
Provides in-office and onsite support for events. This includes responding to emails/calls, event registration creation and management, assisting in vendor/venue research, preparing/packing check-in materials, staffing events set-up and check-in, and working with volunteers.
Serves as an administrative resource by updating documents, ordering and maintaining supplies, coordinating facilities requests, equipment service and parking reservations.
Assists in the planning and implementation of two commencement ceremonies annually. This includes; monitoring graduate registration, regalia ordering and distribution, answering calls/emails, onsite support and task as assigned.
Works in tandem with the business office in the processing of all payments, new vendor onboarding and reimbursements.
Designs and edits electronic materials via Canva. This includes; presentation slides, invitations, signage, etc.
Calendar management and meeting scheduling. This includes; maintaining events office and school wide events calendar. Scheduling meetings and preparing all logistics associated with those meetings.
Coordinates and accepts shipping/receiving for the events team. Maintains select rosters.
Provides guidance and direction to student workers, as assigned.
Other duties as assigned.
