We are seeking a proactive and patient Senior Administrative Assistant to support our dynamic real estate development organization. This multifaceted role involves a variety of administrative tasks such as organizing and coordinating meetings, handling routine inquiries, proofreading documents, and managing office supplies. The ideal candidate will excel in providing strong customer service, greeting and directing guests, and offering conference room assistance. Additional responsibilities include managing mail and package deliveries, assembling company materials, and supporting both internal and community events. Assist the Senior Executive Administrator with organizing and coordinating meetings.
Handle general administrative tasks including faxing, filing, copying, phone calls, and preparing written responses to routine inquiries.
Proofread documents and assist with meeting preparations, such as copying reports and creating notebooks.
Serve as the primary backup for the Office Manager/Front.
Greet and direct guests, provide conference room assistance, and coordinate technical support as needed.
Manage meeting setups, order lunches, sort and distribute mail, and handle outgoing mail and package deliveries (FedEx, UPS, etc.).
Assist in maintaining office and kitchen supply inventories.
Run errands as necessary, such as trips to the post office and bank.
Assemble company materials, brochures, handouts, and other meeting-related documents.
Support company-sponsored events, as well as public and community events.
Handle general leasing telephone inquiries for retail, residential, and office spaces.
Provide support to various departments as needed, ensuring efficient and effective operations.
Perform other duties as assigned to support the overall needs of the organization.
