Primary Responsibility / Summary
The Executive Assistant to the EVP/Chief Operating Officer manages the COO’s calendar, correspondence, and travel in such a way as to support the COO’s focus on tasks that drive key operational priorities for Retail and other business units. The position is also responsible for administrative duties related to the Operations Team and the Administrative Management Team. This hybrid position requires three days in-office at Goodwill SoCal's Los Angeles Headquarters.
Essential Duties & Responsibilities
- Plans and manages daily Operations Team meetings involving 32 management level staff, developing the reporting agenda, and following up on timelines and deliverables.
- Project manages across divisions, including Real Estate, Logistics, Retail, Facilities, Loss Prevention, Marketing, and IT. Manages Administrative Management Team calendar, plans, and action items for key company projects.
- Participates as a standing member of select ad hoc and on-going project teams related to Operations to facilitate communication with and accountability to the COO.
- Receives and manages deliverables to the COO from direct reports and directs reporting and follow up.
- Coordinates an extremely active office and full calendar; Schedules meetings (internal and out-facing), travel, and site tours (both group and individual).
- Facilitates smooth and timely communication between COO and his 14 direct reports, and other management level team members. Helps align and resolve competing priorities and multiple projects.
- Cultivates a culture of collaboration among management team members.
- Calendars meetings, develops agendas, attends meetings, takes minutes, and manages the resulting follow up for all meetings including Board of Directors-related Committees and Task Forces led by the COO. Manages COO’s demanding schedule. Acts as gatekeeper to prevent misuse of the COO’s time. Prioritizes issues and concerns, determines appropriate course of referral & response, and prioritizes all incoming communication.
- Drafts original and routine correspondence for COO’s signature; creates and edits PowerPoint presentations, documents and reports for the COO and other division leaders. Maintains appropriate physical and online document management systems, including tracking key items in project management software (Basecamp) to ensure retention compliance and appropriate confidentiality. Completes and submits COO’s expense reports monthly.

Education & Experience
- 5+ years project management experience, with at least 3 years administrative experience supporting C-Suite executives.
- Bachelor's degree from a four-year college or university required.
- Excellent people and communication skills.
- Demonstrate professionalism and abilities to multi-task with tight deadlines.
- Abilities to work independently and exercise good judgement.
- Background, drug screen, employment and education verification required.
