Pay Range
The compensation for this appointment will range from $21.00 to $22.00 hourly and reflects what California Baptist University reasonably expects to pay for this staff appointment. Actual compensation may vary based on the qualifications and experience of the applicant, as well as market conditions.
Position Summary Information
Summary
The Department Secretary is the front-line office representative for the Spiritual Life Office and will present a positive, servant-based image to walk-in visitors and phone inquiries. The Department Secretary will also provide general secretarial support for the Office Manager and the Director of Chapel by performing the following duties.
Essential Duties and Responsibilities
Answers and transfers incoming calls, greets walk-in guests, and responds to general inquiries and correspondence.
Oversees, interviews, schedules, approves timecards, and trains front desk student workers.
Provides attendance support at weekly chapel services and assists in troubleshooting IT solutions for attendance tracking software.
Assists with responding to student inquiries in the chapel mailbox.
Provides secretarial support for the Director of Chapel and Office manager including the development of databases, logistical coordination of Spiritual Life events, marketing, and publicity as well as other general secretarial support.
Provides secretarial support to Spiritual Life staff for the ISP/USP application process and student interviews for SL programs and projects.
Maintains presentation and appearance with student workers for the reception area, general work area, break room, and large conference room of the Spiritual Life Office.
Regularly seeks out policy updates, university account processes, and effectively communicates to all staff.
Executes online purchasing orders, cash advances, and ordering of office supplies.
Assists in maintaining calendars for the prayer chapel, SL Conference room, green room, and SL studio as needed.
Supervisory Responsibilities
This position could be responsible for assigning work and/or giving direction to part-time Student Workers, in order to complete work assignments.

A thorough knowledge of: Business English and arithmetic; general office methods, procedures, and practices.
Ability to read and write at a level appropriate to the duties of the position.
Ability to gather data, compile information, and prepare reports.
Strong interpersonal and communication skills and the ability to work effectively with a diverse faculty, staff, and student body.
Strong organizational skills and detailed oriented.
Ability to maintain confidentiality.
Excellent telephone courtesy knowledge and experience.
Ability to interpret, adapt, and apply guidelines and procedures.
Ability to make administrative/procedural decisions and judgments.
Ability to create, compose, and edit written materials.
Ability to develop and maintain recordkeeping systems and procedures.
Ability to resolve customer complaints and concerns.
Education and/or Experience
High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.
