The Legal Services Department is looking for a Senior Specialist to complete a broad variety of project management and administrative tasks to support the efficient running of our fast-moving team in Washington DC.
The Senior Specialist, Legal Support will provide primary support to 3 Managing Directors. This is a vital role for our team, and we are looking for someone that loves juggling a variety of tasks, has attention to detail and enjoys collaborating with other team members!
Responsibilities:
Calendar management, travel arrangement and expense reporting.
Complete a variety of project management and administrative tasks supporting the members of the Legal leadership team.
Overseeing and tracking contract workflows including coordinating with Vendor Management and Legal.
Scheduling meetings, conferences rooms, and events (off-site and/or internal).
Setting up outside vendor (including law firm) engagements and timely managing invoices.Compose, proofread, edit, and prepare correspondence and consolidated team reports.

Support quarterly and semi-annual federal and state lobbying reporting requirements
Serve as liaison/central point of contact to receive, track, and respond to status inquiries to resolve bottlenecks.
Work with HR and IT to ensure smooth onboarding and offboarding process. Oversee charge-backs to the business for contingent/contract staff.
Office management responsibilities that include coordinating visitor office request, catering requests, ordering of supplies and general office management responsibilities.

Organizational skills: Effectively and efficiently manage workload. Ensure that all follow-up items are completed timely and with limited supervision. Able to prioritize assignments against deadlines.
Attention to Detail: Double-check work product for accuracy and consistency. Provide information on a timely basis to others as requested. Complete all work, with limited supervision, according to procedures and standards.
Communication skills: Write and speak clearly and succinctly in a variety of communication settings and styles.
Problem-solving skills: Identify the information needed to solve a problem. Present problem and recommend solutions.
Technical skills: Proficient in Ariba, Microsoft Outlook, Word, Excel, and PowerPoint. Ability to learn Schwab internal systems quickly (e.g., iManage, Concur, eCounsel, PSFIN, DocuSign, Visio).
Strong work ethic including the ability and willingness to take on a variety of responsibilities (including administrative) depending on department and project needs.
This is a hybrid position, working out of our DC office location

Required Qualifications:
5+ years of administrative assistant experience.
Administrative assistant experience in a corporate environment.
Experience in operations, program and project management.
Proficient in Microsoft Office, particularly Outlook, Word, Excel and PowerPoint.
Preferred Qualifications:
Strong organizational skills and attention to detail.
Excellent interpersonal and communication skills.
A growth mindset, including an eagerness to learn and take on additional responsibilities.
