Roles & Responsibilities:
We are seeking a Program Coordinator to assist and support multiple in-person and virtual learning programs by completing tasks such as scheduling, processing registrations, distributing participant materials, tracking attendance, reporting metrics, and troubleshooting when things do not go as planned. Additionally, this role serves as the administrative contact for the LCOE (Leadership Center of Excellence) by handling facilities requests, room scheduling, staff meeting organization, time and expense charge validation against the department budget, and other tasks assigned by department leadership.
The Program Coordinator will report directly to the Senior Manager, Leadership Center but will receive daily guidance in their work duties from the Senior Program Coordinator. This role is required to be a self-starter who constantly looks for opportunities to improve our processes, practices exceptional time management, works well in a collaborative environment, and communicates easily across and beyond the LCOE.
- Ensure the flawless execution of learning solutions (instructor-led training, virtual sessions, etc.) by entering courses in the Learning Management System (LMS), advertising learning opportunities, facilitating student registrations, reserving facilities, planning logistics with instructors, ascertaining instructor needs, ordering catering, setting up classrooms (physical and virtual), and closing out events.
- Coordinate high-visibility events with relevant parties (e.g., MITRE departments, third-party learning providers, academic learning partners) as needed to facilitate their participation in LCOE program offerings.
- Embrace, support, and leverage training technologies such as virtual teleconferencing, Teams, Zoom, Workday LMS, etc. to deliver quality learning experiences. This includes serving as a virtual course producer by running polls, creating breakout rooms for participant discussions, advising the instructor as to time remaining, and troubleshooting audio-visual issues which may arise.
- Respond to MITRE employees, external partners, and LCOE team members regarding telephone, electronic, and in-person inquiries about courses, schedules, logistics, etc. by employing exceptional customer service and problem-solving skills.
- Work closely with Project Management Office (PMO) assigned project manager resource supporting the Leadership Center to deconflict competing schedule priorities to help ensure likely success of project initiatives.
- Serve as the point of contact for the LCOE regarding its administrative needs such as ordering supplies, obtaining hotel room blocks, processing facilities requests, clearing visitors with security, assisting with expense reports, etc.
- Procures goods and services for the LCOE by engaging in activities such as purchasing items using a corporate credit card, processing expense reports to clear the corporate card monthly balance, inputting requests/documents for the procurement team to process (e.g., non-disclosure agreements, statements of work), etc.
- Perform other coordinator, administrative, or support duties as assigned.
Basic Qualifications:
- Requires a minimum of 4 - 6 years of related experience with a High School Diploma or equivalent in education, or 3 years’ experience with an Associate’s degree, or 2 years’ experience with a Bachelor’s degree, or equivalent combination of education and related work experience.
- Proficiency in Microsoft Office suite, including Teams, Outlook, PowerPoint, Word, and Excel.
- Familiarity with the advanced features of software (e.g., breakout rooms, polling, on-screen annotation) used to support virtual events such as Teams or Zoom.
- Strong written and oral communication skills with professionals at all levels, especially with leaders of an organization and external stakeholders.
- Exceptional organizational skills including the ability to handle multiple assignments and prioritize work.
- Must be highly motivated, proactive, flexible, coachable and possess the ability to effectively improvise.
- Self-starter, can work autonomously, and can anticipate needs or challenges in advance and escalate when appropriate
- Demonstrated ability to think outside of the box and find innovative solutions
- Strong interpersonal skills to establish and maintain effective working relationships including a willingness to proactively address conflict and highlight issues that need attention
- Ability to flex and adapt to changing organizational needs
- Ability to maintain confidentiality regarding sensitive information
Preferred Qualifications:
- B.A./B.S. in related field such as business, adult learning, higher education, human resources, or learning and development
- 2 or more years of experience specifically supporting learning, training, leadership development, or another formal professional development function in a corporate setting
- LMS support experience with a preference for Workday
- Demonstrated executive presence with experience supporting high visibility initiatives
- Experience working with and being point of contact for third party vendor relationships/contracts
